Job Description

As a member of the Attorney Resource Center (ARC), the ARC Specialist provides administrative and document production support to attorneys and administrative departments firm-wide. The ARC Specialist works collaboratively and cooperatively with others in a team-oriented environment to deliver the highest level of service to internal and external clients.

Candidates must be able to work the corresponding hours in their local time zone to ensure firmwide coverage and alignment.

Work Schedule: Monday through Friday

Eastern Time (ET): 12:00 PM – 9:00 PM
Central Time (CT): 11:00 AM – 8:00 PM
Mountain Time (MT): 10:00 AM – 7:00 PM
Pacific Time (PT): 9:00 AM – 6:00 PM

ESSENTIAL FUNCTIONS:
• Document Production & Administrative Support
• Prepare, revise, format, and proofread legal documents, correspondence, memoranda, spreadsheets, and presentations from draft or dictated text with a high level of accuracy and attention to detail.
• Create and generate pleadings, briefs, and related documents, including Tables of Contents and Tables of Authorities, in accordance with firm and court standards.
• Apply firm-approved styles, formatting, and document standards consistently.
• Workflow & Task Management
• Manage and prioritize assigned work requests and projects to meet deadlines in a fast-paced, deadline-driven environment.
• Coordinate with other ARC team members and firm resources to ensure timely and efficient completion of work.
• Demonstrate flexibility and adaptability in responding to shifting priorities and attorney needs.
• Technology & Process Improvement
• Utilize and apply firm technology and software tools to improve efficiency, accuracy, and work quality.
• Remain current on firm systems, procedures, and best practices relevant to administrative and document support functions.
• Collaboration & Compliance
• Work collaboratively with attorneys, ARC colleagues, and administrative departments to support firm objectives.
• Adhere to all firm policies, procedures, standards, and guidelines while maintaining strict confidentiality.

ADDITIONAL FUNCTIONS:
• Perform other related duties, as assigned.

QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES):

Education:
• Associate’s degree preferred, bachelor’s degree a plus. Applicable work experience may be considered in lieu of a degree.

Experience:
• Minimum of eight (8) years’ related experience at a law firm, legal department, or corporate environment preferred.

Knowledge, Skills, & Abilities:
• Exceptional technical skills with advanced working knowledge of the MS Office Suite, including Outlook, Word, Excel, and PowerPoint.
• Proven proficiency using legal terminology and supporting related practice area(s).
• Demonstrated ability to manage multiple priorities simultaneously in a fast-paced, high-pressure, detail-oriented environment using sound judgment and initiative.
• Ability to independently gather, organize, and summarize information to complete tasks accurately and efficiently.
• Ability to adapt to varying attorney work styles, practice areas, and administrative requirements.
• High level of proficiency using standard office equipment, including personal computers, copiers, telephones, and transcription equipment.
• Excellent verbal and written communication skills, with strong interpersonal skills to handle sensitive and confidential matters.
• Professional demeanor and appearance, demonstrating poise, tact, and diplomacy.
• Commitment to maintaining the highest level of confidentiality and providing outstanding customer service to internal and external clients.

WORK ENVIRONMENT & PHYSICAL DEMANDS:

This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

PHYSICAL REQUIREMENTS

Sedentary Work: Exertion of physical strength to lift, carry, push, pull, or otherwise move objects up to 10 pounds. Work involves sitting most the time. Walking and standing is often necessary in carrying out job duties.

COMPENSATION & BENEFITS

The salary range for this position reflects a variety of factors that are considered in making compensation decisions, including but not limited to experience, education, licensure and/or certifications, geographic location, market demands and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the range for a position. A reasonable estimate of the current range for this position is $69,700 - $90,000.
