Job descriptionWe are looking for a highly organized and proactive Assistant Admin Manager to manage and oversee key administrative functions related to transportation, housekeeping, hostel management, and other day-to-day operational tasks. The ideal candidate will be responsible for coordinating transport , managing housekeeping services, and ensuring that hostel facilities are well-maintained and meet the needs of staff and residents. This role also includes providing general administrative support across various departments and ensuring a smooth operational flow.

Key Responsibilities:

Transport Management:

Oversee the company’s transportation services, ensuring vehicles are properly maintained and schedules are efficiently managed.

Coordinate the transport requirements for employees, including daily commute, travel, and special requests.

Ensure that all vehicles are compliant with safety regulations and company policies.

Manage vehicle maintenance schedules, track fuel consumption, and keep records of travel logs and expenses.

Liaise with transport vendors, if applicable, to ensure cost-effective and reliable services.

Housekeeping Management:

Supervise housekeeping staff to ensure cleanliness and hygiene standards are met in office areas, common spaces, and restrooms.

Create and manage housekeeping schedules, assigning tasks and ensuring that they are completed efficiently and on time.

Ensure proper maintenance and cleanliness of office equipment, furniture, and shared spaces.

Maintain inventory of cleaning supplies and ensure timely restocking.

Address and resolve any housekeeping-related issues or complaints promptly.

Hostel/Accommodation Management:

Oversee the daily operations of company-hosted accommodation or hostel facilities, ensuring that all living spaces are clean, safe, and comfortable for employees or residents.

Manage room allocation, check-in/check-out processes, and handle any accommodation-related requests or complaints.

Ensure hostel facilities comply with health and safety regulations and company policies.

Liaise with vendors for hostel maintenance, including housekeeping, repairs, and facility upgrades.

Maintain an inventory of hostel supplies (linen, toiletries, etc.), ensuring timely replenishment.

General Administration Support:

Assist in managing general office administrative duties, such as scheduling meetings, coordinating events, and handling correspondence.

Assist with the preparation of reports, presentations, and other documents as needed.

Manage office supplies inventory and ensure office materials are well-stocked and organized.

Support HR and payroll functions, including attendance tracking and staff coordination.

Handle internal communications and maintain effective relationships with various departments.

Budget and Expense Tracking:

Help manage budgets for transport, housekeeping, and hostel operations.

Monitor and track expenses related to these areas, ensuring adherence to budget constraints.

Ensure that all expenditures are documented and reported accurately.

Compliance and Safety:

Ensure that transportation, housekeeping, and hostel facilities comply with legal, safety, and company standards.

Assist in implementing and monitoring health and safety protocols in these areas.

Conduct regular checks and audits to maintain compliance with policies and regulations.

Other Administrative Tasks:

Support other operational functions and administrative tasks as assigned by the Admin Manager or senior management.

Handle special projects or initiatives as needed to improve operational efficiency.

Qualifications:

Bachelor’s degree in Business Administration, Operations Management, or related field.

Proven experience in administrative or operations management roles, preferably with responsibilities related to transport, housekeeping, or accommodation management.

Strong organizational and multitasking abilities, with attention to detail.

Excellent communication and interpersonal skills.

Ability to manage multiple tasks and prioritize responsibilities effectively.

Familiarity with managing budgets and cost control.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.

Ability to handle sensitive information with confidentiality.

Preferred Skills:

Experience in managing transport logistics, hostel accommodations, and housekeeping teams.

Knowledge of legal and regulatory requirements related to hostel and transport management.

Previous experience with vendor management and negotiation.

Knowledge of health, safety, and environmental regulations.

Ability to work independently and as part of a team.
