Job Purpose -
Oversight of all finance and account master transactions covering asset codes, internal orders, fund codes, vendors, customer masters, etc.; examine and compare budgets and actuals, grant accounting, and expenditure and reporting Interact with department stakeholders and provide necessary information relating to their budgets and payments to them; ensure timely compilation and distribution of budget vs. actual statements and grant statements; Attend to auditors about related issues; attend to queries relating to accounts; ensure school policies are followed.
Job Outline -
At ISB, finance plays a key role in controlling and managing the financials of the school. The department also handles all the legal matters as well as all aspects related to statutory compliance.
The jobholder as Assistant Manager – Finance reports to the Sr. Manager/Associate Director-Finance & Accounts and performs a set of responsibilities mainly related to accounts finalisation, Capex Report and handling of grants related finance matters and dealing and submission of completed audited statements in coordination with Grants and Development Offices.
The jobholder needs to provide necessary information/clarification to the departments and hold training sessions on internal control processes for the line managers and staff to create awareness of the processes. S/he needs to explain in detail the processes and the school's policies in doing the job and also periodically review the same.
The jobholder is also responsible for processing workflow finance requests, creating all masters, verification of capex expenditure orders, coordinating with departments to provide the reports and taking corrective actions wherever required. S/he is also responsible for the creation and release of asset codes, as well as ensuring that asset codes are created in accordance with policy. The post holder is also responsible for monthly, quarterly, and yearly closing requirements such as the closure of outstanding expenses, provisions, review of advances, general ledger review, etc.
The incumbent needs to closely monitor the expenditure and respond effectively within time with regard to their budget. S/He needs to ensure the clearance of the vendor/customers and general ledgers within 7 working days from the date of the previous month. S/he needs to also interact with the statutory/internal auditors and consultants to respond to queries and provide necessary documents/clarifications.
The job holder needs to see that grant utilization statements are sent every month/quarter and as and when they are asked for to the report as per MoUs/grant agreements and obtain the sign off from the departments. S/he needs to also oversee the masters, open purchase orders, internal orders, etc. within the time frame. Furthermore, the incumbent needs to maintain the monthly contributions, donations, and compilations of accounts.
