Job Title & Purpose Job Title : Subcontracting Assistant - Rolling Stock Purpose of the Job Subcontracting Assistant will be supporting the Subcontracting Manager with all admin related tasks of raising PR/ PO, tracking accuracy of invoice, clearing AD, tracking data, creating dashboards and other adhoc tasks Position in the Organisation Organisation Reporting NA NA Network & Links Engineering Metier Leaders Sourcing & Finance Teams Workload Team Missions Performance Measurement/KPI s KPIs monitored through Subcontracting Task -- PO/ PR creating on Time -- Accurate Data Tracking -- Release of AD on Time -- Timeline to dashboards Responsibilities Main management missions: Accountable for: Is accountable for seamless works between sub contracting teams and metiers and partners Responsible for: On time realease of PO/ PR, AD & Invoice Tracking Support Subontracting Manger on day to day tasks. Sub contractor RFQ mapping to Source RFQ Reconciliation of burnt hours to source RFQ Reconciliation of sub contractor RFQ to Approved Effort, consumption and CR s Rate card validation Invoice line item validation Reconciliation of PO balance Raise PO / Ebuy Track PO Consumption and release PO in time Maintain referencing database PO copies indexing maintaining the database Collect data inputs from Sub contractors on KPI s Maintain performance and commercial dashboard Maintain SEC portal on validation etc Daily/ Weekly/ Monthly task level cadence with Sub contractor and Internal Operations Team Job Specifications Knowledge & Experience : Excellent Communication and Coordination and Administrative Skills Excellent with MS office package like Excel & PPT Workingknowledge of Ariba & SAP Knowledge of PR & PO process and understanding of business finance Team size : NA Innovation : Simplification of Excel Tracking, Build Refernce Matrix
