Job Summary
We are seeking a highly organized and detail-oriented individual as an assistant to our Junior Administrative Assistant. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. You will support managers and employees through a variety of tasks related to organization and communication. The individual should be proficient in various office software, possess excellent communication skills, and demonstrate strong attention to detail.
Duties
Manage front desk responsibilities, including greeting visitors and handling inquiries professionally.
Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
Utilize DocuSign for document management and electronic signatures.
Organize and maintain filing systems, both electronic and physical.
Assist with proofreading documents to ensure accuracy and clarity.
Handle phone calls with appropriate phone etiquette, directing calls as necessary.
Support office operations by performing clerical duties such as typing, scheduling appointments, and managing correspondence.
Collaborate with team members to streamline processes and improve office efficiency.
Experience
Previous experience as an assistant or in a similar role is preferred.
Proficiency in office software applications (e.g., Microsoft Office Suite).
Strong organizational skills with the ability to multitask effectively.
Excellent written and verbal communication skills in English.
Familiarity with front desk operations and customer service principles is a plus.
Experience with data entry and document management systems is beneficial.
