Back-Office Administrator- Systematic Plans and Corrections

Job Description
The Back-Office Administrator is responsible for the accurate and timely processing of approved documentation, setting up Systematic Withdrawal Plans, Pre-Authorized Chequing Plans, Fee schedules and processing trade corrections while adhering to policies, procedures, and regulatory guidelines. This position reports to the Back Office Manager and is responsible for completing daily work volumes within assigned timelines of service standards and scope of responsibility. The Back-Office Administrator is also required to work closely with the compliance and operations teams.
Responsibilities
- Review documents for completion and accuracy, interpret and process bulk systematic transactions.
- Set up and update PAC (Pre-Authorized Chequing) plans for clients requesting regular purchases.
- Set up and update SWP (Systematic Withdrawal) plans for clients requesting regular sells.
- Set up and update RRIF/LIF Schedules for clients requesting regular payments in accordance with all provincial and federal RRIF/LIF rules.
- Running PAC/SWP on Viefund based on the scheduled run dates.
- Tracking and processing trade corrections .
- Set up Fee schedules in Viefund.
- Resolve issues with trade rejections.
- Communicate with other head office teams and fund companies for resolving issues.
- Communicate with advisors regarding clients’ documents, follow up in coordination with compliance, branch manager.
- Keep track of document flow between systems to ensure nothing is missed.
- Manage daily storage of documents - Assisting with departmental projects and providing team support as needed.
Knowledge, Skills, and Abilities
- Adaptable professional with ability to work both independently and as a team member.
- Aptitude for Customer Service.
- Attention to details and ability to effectively follow policies and procedures.
- Analytical skills to assist in reporting, data management and identifying discrepancies.
- Excellent communication skills – both written & verbal in English. (Bilingual French/English an asset).
- Excellent time management & organization skills, ability to multitask and prioritize.
- Ability to follow written and/or verbal instructions and stay productive under pressure in a fast-paced environment.
- Ability to effectively present information in one-on-one and small group environment to compliance, advisors, and other team members.
- Working knowledge of MS Office (Excel) and good computer skills.
- Experience of FundSERV, Winfund or Viefund, and trade processing is a plus.
Qualifications
- At least two years of industry experience, or an equivalent combination of education and experience.
- Some experience processing financial transactions (Withdrawals, Deposits, Transfers, Reconciliations, Etc.) is preferred.
- Industry-related course(s) is an asset.
- Post-Secondary Education - a college or University degree is an asset.

Pay: $50,000.00-$55,000.00 per year
