Job Description
Papple Steading is a large historical site offering premium guest accommodation, an art gallery, a restaurant and wine bar, and event space hire. Set within the East Lothian countryside, the entire estate has been re-built from the ground up to an extremely high standard, remaining sympathetic to the original character of the steading. It now offers the ultimate event space, with food, accommodation and ******* all available on site. The steading is now gearing up to officially open and has need for a part-time bookkeeper to join the team.
Reporting to: CEO, Part-time FD
Hours: approx 2.5 to 3 days per week to suit, days worked flexible around your needs.
Salary: starting at £30,000 FTE
Job Purpose:
The bookkeeper is responsible for the day-to-day accounting and administrative tasks within Papple Steading, supporting the achievement of key business objectives by ensuring the timely and accurate delivery of all financial reporting, and improving all key financial processes.
Scope of the Role:
To support the delivery of a complete set of management accounts within 10 days of period end for all business units
To ensure revenues and expenditures are recorded accurately
To support the delivery of statutory accounts
To improve internal processes and procedures, and to streamline workflows as much as possible while maintaining good control over spend
Main tasks, duties and responsibilities
To accurately record revenues from all revenue streams at Papple (accommodation, bar and restaurant, retail purchases, event hire)
To ensure accounts receivable ledgers are well controlled
To ensure weekly reconciliation of all company bank accounts
Post all invoices to accurate nominal codes
Post and reconcile all petty cash
Generate a bimonthly payment run for authorisation
To manage the company balance sheets
To manage prepayments and accruals and all manual journals to ensure accuracy and reconcile quarterly
To ensure the Fixed Asset Registers of the companies are up to date and manage the depreciation schedules
To support the year end process
To control the accounts inbox and ensure emails are dealt with in a timely manner
Managing intercompany recharges
To support the payroll process as requested by the finance director (the main payroll processing remains outsourced)
To prepare and submit the quarterly VAT returns
To support the FD with cashflow analysis and projections
To support the FD with opportunities to grow the various revenue streams
Experience in a hospitality setting is essential. We’d be keen to hear from people who can effect change early on and who want to work in a newly-launching and growing business.
