Hours: Permanent part-time, 25 hours per week (9am to 2.30pm)

CCS Disability Action is looking for a friendly, welcoming Administrator/Receptionist who enjoys being the first point of contact and helping create a positive, respectful environment and to join our fantastic team in our Otago office.

This is an excellent opportunity for someone who is highly organised and proactive and enjoys keeping the smooth running of daily office operations, while supporting the team and providing responsive supports to the people we support.

Job specific information
As a Branch Administrator/Receptionist, you will:

Ensure the smooth and efficient running of daily office operations.

Provide administrative support to our Service staffs that enables them to undertake their roles effectively.

Maintain a welcoming office space for disabled people and their family/whānau and other external stakeholders e.g. community agencies, general public and anyone else who visits the office.

Our organisation takes a social, rather than medical approach, supporting disabled people to live their best lives. We are guided by the Enabling Good Lives principles, shifting power and authority back to disabled people and their families, to increase choice and control in their lives.

About the role:

Provide a friendly, courteous, welcoming and helpful reception service to anyone who comes to the office.

Provide information, advice and/or complete Total Mobility Assessments/Mobility Parking Permits Applications in a courteous manner.

Input data, maintain and produce information as required from our databases.

Organise events and functions as and when required.

Be able to take meeting minutes.

Provide clerical and administrative support to the Service Manager and Service Coordinators at a consistent high level that maintains the smooth running of the office.

Maintain a high standard of professional and organisational behaviour and practice.

Attend, participate in and seek training/professional development opportunities (including internal and external supervision).

Support and maintain effective teamwork.

Work in ways which are consistent with Treaty of Waitangi.

Undertake other such duties/tasks as allocated by the Service Manager.

About you
We are looking for a person who has:

Greets people warmly and professionally.

Is a team player – but can also work independently.

Friendly, adaptable, pleasant manner, and thrives when no two days are the same.

Can engage with people from diverse backgrounds in a friendly manner in person and/or over the phone.

Is tech-savvy, proficient in computer skills across a range of Microsoft software including Word, Outlook, Excel, Publisher, and other common applications and have the willingness to learn and pick up new systems quickly.

Have excellent attention to detail and accuracy in data entry.

Has demonstrated customer service experience

Experience in the disability sector is preferred but not essential

A flexible approach to working hours, meetings may be held out of normal office hours.
