The Animal and Biological Imports Branch implements biosecurity policies to allow for the safe movement of animals, animal products (including aquatic animals and their products) and genetic material into Australia. The activities of the branch include responding to general client enquiries relating to the importation of goods and use of associated departmental systems, the provision of technical advice to staff, importers and stakeholders, development and publishing of import conditions, instructional material and other guidance material, and assessing import permit applications and issuing import permits.

The Job
The successful candidate will need to enjoy working in a fast-paced and changing work environment, display strong personal drive and initiative, have sound judgement, and deliver quality work within tight deadlines. The role will be responsible for:

Coordinating and delivering recruitment services at the branch and divisional level (including reviewing duty statements, publishing vacancies, coordinating scribes, booking interviews and liaising with the department’s recruitment, IT, payroll and security services teams to enable the onboarding of new starters)
Supporting the branch finance manager and executives with budget preparation, forecasts and reporting to ensure that expenditure is accurately recorded, reflects branch plans and remains within budget allocation.
Applying budget and resource management knowledge to help resolve finance, human resource, and procurement problems on a day-to-day basis.
Creating and modifying position numbers and paying invoices in TechnologyOne.
Ensuring branch-wide awareness of and compliance with relevant regulations including the Public Governance, Performance and Accountability Act 2013 (PGPA Act) and the Biosecurity Act 2015.
Supporting the branch executive assistant to deliver administrative functions, including document coordination, reporting requirements and record keeping, booking travel and training, updating phone lists and asset registers and helping resolve branch property, IT, HR and WH&S issues.
Review business processes, work instructions, and support materials in a high workload area and identify opportunities for improvement.
Providing secretariat support and coordinating the planning, delivery and running of planning days, committees and other meetings.
Providing other general administrative support functions as required.
Knowledge and experience
Knowledge or previous experience in any of the following would be an advantage:
Current experience with Microsoft Office software (Word, Excel, Outlook)
Applying a sound knowledge of the PGPA Act, the Commonwealth Procurement Rules and associated polices to identify and offer solutions to short and medium-term business and budget related risks and exposures.
Working with and applying best practice procurement.
The department’s TechnologyOne finance system.
Skills and capabilities

Specialist skills in finance, recruitment, procurement, human resources and contract management.
Demonstrated ability to work with considerable autonomy, ensuring business service outcomes are achieved.
Well-developed oral and written communication skills, in particular the ability to produce clear and accurate written material.
Liaison skills to develop and maintain relationships with internal and external stakeholders, respond to their needs and queries and to solve problems collaboratively.
Time management skills, including the ability to take responsibility for own tasks and manage own work with limited supervision.
The ability to consistently deliver high quality products.
