Work Schedule:
• Monday to Friday (no weekends)
• 4 to + hours per day
• 1 to 4 hours per day

Responsibilities:
We're seeking an organized and self-motivated Office Manager to provide administrative support to our members, clinicians, and medical providers. Office Managers collaborate closely with local leadership to manage day-to-day office operations, coordinate schedules, and facilitate meetings aimed at fostering member recovery.
To succeed in this role, candidates should demonstrate strong attention to detail, professionalism, problem-solving abilities, excellent communication (both written and verbal), exceptional customer service, and the capacity to navigate high-stress situations with empathy and efficiency.
Duties and Responsibilities:
• Maintain the office's appearance
• Open and close the office
• Welcome visitors and assist members
• Deliver exceptional customer service in person, over the phone, and via video conference
• Handle administrative tasks such as answering calls, responding to texts and emails, and resolving technical issues
• Manage member flow during in-office visits and virtual meetings
• Coordinate with medical providers and manage scheduling
• Maintain accurate records in the EMR system
• Collect insurance information and process payments
• Coordinate with pharmacies to ensure medication continuity
• Manage petty cash and office supplies
• Meet office-specific goals and performance indicators
• Engage in community relations activities
• Distribute promotional materials to community stakeholders
• Attend and participate in community meetings related to substance abuse and addiction topics
• Increase awareness of Groups in the community by posting flyers
• Perform other duties as assigned
Qualifications:
• Associate’s degree preferred, or equivalent experience
• Minimum of 2 years of experience in office administrative/coordinator roles
• Preferred experience in healthcare, retail, or hospitality
• Proficiency with Google Apps and Microsoft Office
• Ability to troubleshoot minor technical issues
• Strong attention to detail and confidentiality
• Ability to work independently and collaboratively
• Exceptional customer service and communication skills
• Willingness to work evenings as needed
