Business Operations Coordinator (Part-Time)
Mint & Matter Cleaning Inc.
Calgary, AB
15 hours per week | Remote | Growth-Focused Role
Mint & Matter is a premium residential and commercial cleaning company built on structure, high standards, and exceptional client experience.
We are building more than a service company. We are building systems, processes, and a long-term brand with intention. As we grow, we are seeking a highly organised and detail-oriented Business Operations Coordinator to help strengthen the foundation of the business across operations, organization, and growth support. The ideal candidate will possess strong office experience, excellent computer skills, and a proactive approach to problem-solving.
This is a cross-functional role that supports both internal operations and external business development efforts.
What You’ll Be Responsible For
Operational Structure & Execution
Develop, document, and refine Standard Operating Procedures (SOPs)
Build workflows, checklists, and internal process documentation
Organize and maintain digital systems and file structure
Manage and coordinate office operations to ensure efficiency and effectiveness
Track operational priorities and ensure follow-through
Monitor service quality workflows and flag gaps
Prepare clear weekly status and progress updates
Assist in process improvements by analysing current procedures and recommending enhancements
Client & Booking Oversight
Support pre- and post-service communication processes
Track customer feedback and coordinate resolution of service issues
Maintain operational tracking dashboards
Commercial Growth & Business Support
Research and build structured lists of qualified commercial prospects
Maintain prospect tracking spreadsheets/CRM records
Draft and send structured outreach campaigns
Track outreach performance and response rates
Prepare briefing documents and pitch materials
Research relevant Calgary business and networking events
Attend approved networking or industry events with leadership as needed (within agreed hours)

Who You Are
Highly organized and systems-oriented
Strong written communicator
Proactive and self-directed
Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, Notion, and Mailchimp
Experience using data management systems and office software tools
Strong typing skills with high accuracy for data entry tasks
Comfortable balancing structure with growth-related tasks
Professional and confident in business-facing settings
Comfortable working in a small but ambitious company
Ability to multitask effectively
Competence in managing multiple priorities and meeting deadlines
Experience in operations, project management, coordination, business administration, or business development is preferred.
Hours & Compensation
15 hours per week (flexible scheduling)
Hybrid structure (some in-person meetings required)
$20/hr

Operations Manager (City-Level): Leading day-to-day operational oversight within a specific city, managing team coordination, quality control, and performance tracking.
Regional Operations Manager (Provincial-Level): Overseeing operations across multiple cities within a province, ensuring standardisation, operational consistency, and regional team performance.
Business Operations Manager / General Manager: Supporting broader business strategy, cross-regional coordination, and leadership of operational managers while driving performance and growth initiatives.
Director / Vice President of Operations: Providing strategic oversight of multi-province operations, leading regional managers, standardising systems at scale, and driving operational efficiency and expansion nationally.
