Primary objective
Provide essential business and administrative support to the People, Safety and Culture branch.
Context statement
The People, Safety and Culture branch is responsible for leading workforce strategies to attract, retain and develop capability to build a skilled and
committed workforce within a supported, safe and connected environment. The branch provides support services across the agency (including
regions) on all workforce matters with a focus on employee wellbeing and culture, workforce planning, work health and safety, employee
onboarding, business improvement support, recruitment and training and capability.
Key duties and responsibilities
1. Provide high level administrative support to the People, Safety and Culture branch by assisting with projects across all functions.
2. Collate, draft and prepare correspondence for the branch for internal and external requirements including assisting with development of
agendas, meeting minutes and actions.
3. Monitor the People, Safety and Culture’s generic email accounts, ensure efficient record keeping is upheld, respond to routine enquiries and
escalate complex issues as appropriate, ensuring confidentiality and discretion.
4. Assist with the organisation, coordination and administration of training programs, expos and external showcases, Social Club, events and
fundraising activities.
5. Carry out financial responsibilities including the management of procurement, invoicing and payments including seeking delegates approval.
6. Access, update and extract data from a range of systems/programs such as JAQ/JD database, HR Delegations portal, SharePoint Workforce
Dashboards as well as audit and request system access for agency users/delegates on a regular basis.
7. Provide support to the branch to maintain stock levels of required stationary (including for onboarding packages)
8. Follow service quality standards, internal policies, procedures, and legislative requirements to ensure high quality service and advice is provided
that exemplifies best practice and role modelling behaviour.
Selection criteria
Essential
1. Well-developed administration skills and business support experience operating in a fast-paced office environment with strong organisational,
problem solving and time management skills to manage time effectively, prioritise tasks and meet deadlines.
2. Excellent general administration skills in email management, accurate record keeping and maintenance of registers.
3. Proven ability to assist in the organisation of bookings and procurement with a particular focus on training programs, expos, events and culture
and wellbeing activities including the departments social club (i.e. venues, consultants, organising promotional material and meeting invites).
4. Well-developed interpersonal, oral and written communication skills, with a demonstrated ability to communicate professionally and
effectively with a wide range of stakeholders internally and externally including people from diverse backgrounds.
5. Demonstrated ability to work autonomously and effectively as part of a small team and with minimal supervision in day-to-day operations to
achieve outcomes and excellent client service.
6. High level of motivation and ability to monitor and meet changing priorities and deadlines.
7. Sound knowledge in computer systems and office applications as well as records management and business systems.
8. Demonstrated ability to maintain confidentiality, use sound judgement, tact, and secretion in dealing with matters.

image of the department.
Desirable
1. Broad experience in People, Safety and Culture or similar work environment.
2. Knowledge and ability to apply relevant employment legislative frameworks covering NTPS employees.
Further information
Ability and willingness to work in remote areas for short periods. Travel via four-wheel drive vehicles, light aircraft, or other means, together.
