CATERING ASSISTANT

Salary Range: $21 to $23 per hour

POSITION SUMMARY
The Catering Assistant is responsible for managing catering orders received via telephone and email, ensuring precise documentation of details, coordinating with kitchen and delivery personnel, and providing prompt, high-quality service to clients.
Furthermore, the position entails serving as the Front of House (FOH) Shift Lead when required, supervising FOH operations, directing team members, and ensuring seamless service during peak periods or special events.


Key Responsibilities


Catering Operations
 Receive and respond to catering inquiries and orders via phone and email.
 Accurately record order details, including delivery instructions, dietary needs, and special requests.
 Maintain proactive communication with clients to confirm orders and manage any changes or updates.
 Coordinate with the kitchen and delivery teams to ensure timely preparation and dispatch of catering orders.
 Monitor upcoming orders and follow up as needed to ensure execution aligns with client expectations.
 Maintain detailed records of all catering transactions and communications.
 Promptly address and resolve client issues or concerns with professionalism.
 Provide administrative support to the Catering Manager, including data entry, report generation, and internal
communication.


FOH Shift Lead (as assigned)
 Supervise FOH team members during designated shifts, ensuring smooth and efficient service.
 Act as the point of contact for operational issues during the shift.
 Delegate tasks, manage breaks, and support the team to uphold service standards.
 Collaborate with BOH (Back of House) and management to address real-time service needs.
 Ensure cleanliness, organization, and readiness of the service area during shifts.
Skills and Competencies
 Strong verbal and written communication skills.
 Exceptional attention to detail and ability to stay organized in a fast-paced environment.
 Time management and the ability to handle multiple deadlines effectively.
 Proficiency in email communication, spreadsheets, and order tracking tools.
 Professional telephone manner and a service-oriented mindset.
 Leadership capabilities when acting as FOH Shift Lead.
 Collaborative approach and ability to work across departments.


Qualifications and Experience
 Experience in catering, hospitality, or administrative support preferred.
 Knowledge of catering or food service operations is an asset.
 Comfortable with basic computer systems; experience with catering/order management software is a plus.
 Prior leadership or shift supervision experience (e.g., FOH lead, team lead) is advantageous but not required.

SUPERVISORY RESPONSIBILITIES: This role assists location to comply with the organization's policies and procedures, applicable laws and regulations. Responsibilities include assisting in training employees; planning, assigning, and directing work; ensuring meal and rest periods are provided; motivating staff; noting performance discrepancies/policy violations during shift; addressing complaints; and resolving problems.

 2+ years of restaurant / retail operations experience.
 Must be available to work a flexible schedule to include evenings, weekend shifts, and holidays.
 Must know basic math
 Ability to understand and follow written and verbal instructions
 Ability to take direction
 Ability to train and teach
 Ability to work in a team environment
 Ability to work calmly and effectively under pressure
 Must have problem solving abilities, be self-motivated, and organized
 Ability to work with speed and efficiency

 Bi-lingual in English and Spanish, preferred, but not required.
 Must be able to take direction and delegate responsibilities effectively.

 Manager Food Handler Certification - Food Handling & Sanitation Awareness
 Must understand how to abide by the rules of the Department of Health related to Food Service.

While performing the duties of this job, the Shift Lead is regularly required to stand and walk for long periods of time (8 to 10 hours per day). Bending, stooping, reaching, twisting, grasping, pinching, smelling, tasting, reaching/lifting above shoulders in a repetitive manner; use hands to finger, handle, or feel; reach with hands and arms; talk and hear; and work with cleaning solutions. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
