About the Role
We are seeking a highly organised and compassionate Clinical Administrator to join our Birthing Suite team. This role plays a key part in ensuring booking practices meet Waitaha Canterbury standards and Ministry of Health targets.
Working under the guidance of the Team Leader, Service Manager, and Clinical Director/Triaging Clinician, you will manage acute arrivals and planned elective outpatient and inpatient bookings. Your work will directly support safe, timely access to maternity services.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4A Step 1 to 3 (final placement step is dependent on skills, knowledge and experience)

Key Responsibilities
Customer Service & Front of House
Provide a welcoming and professional front-of-house service to patients, whānau, clinicians, and visitors
Maintain strict patient confidentiality and privacy at all times
Check and update patient demographics in the Patient Management System (SI PICS)
Identify unwell or infirm patients and refer immediately to nursing staff
Booking & Patient Management
Ensure all booking practices align with Waitaha Canterbury and MoH guidelines
Complete accurate and timely data entry (including HCS)
Communicate clear and concise booking information to patients
Seek clinical direction where required, particularly for re-categorisation queries
Clinic & Inpatient Coordination
Manage clinic lists (CS/IOL/ECV and others) via Microsoft Teams
Use Flowview to support accurate and timely patient flow through Birthing Suite, Assessment Area, Theatres, and PACU
Prepare IOL lists and patient information for the following day
Coordinate IOL and CS inpatient bookings as directed by the Midwife Manager
Manage cancellations in accordance with standardised processes
About You
You are calm under pressure, highly organised, and confident working in a fast-paced clinical environment. You bring a strong customer focus and the ability to manage multiple tasks with accuracy and professionalism.
Essential:
Excellent customer service skills
Strong technical ability and confidence learning new systems
Excellent organisational, time management, and problem-solving skills
High level of accuracy and attention to detail
Ability to work independently and meet deadlines
Intermediate to advanced Microsoft Office skills (Word, Outlook, Excel)
Excellent keyboard and data entry skills
Strong written and verbal communication skills
Proactive and perceptive approach in an administrative role
Desirable:
Administrative experience in a health environment
Knowledge of medical terminology
Familiarity with public hospital systems (including SI PICS)
Cultural awareness and ability to work effectively with diverse communities
