Chief of Staff - Food Manufacturing & U.S. Expansion | Kelowna, BC
We're a fast-growing food manufacturing company expanding into the U.S. We need a Chief of Staff who operates as a strategic partner to ownership, running executive operations, finance, procurement, and cross-functional execution at the speed of an entrepreneurial business.
This is not an admin role. AI fluency is a must.
The role
Run executive operations for ownership and senior leadership: calendars, travel, agendas, action trackers, briefings, follow-through
Own day-to-day finance coordination: AP/AR, reconciliations, monthly close, banking, vendor payments and cheque processing
Lead procurement: source packaging, equipment, ingredients, and supplies; negotiate vendor pricing; track orders against production
Build internal systems, SOPs, dashboards, and workflows that scale with U.S. expansion
Use AI (Claude, ChatGPT, Copilot) to accelerate analysis, research, drafting, and operational throughput
Drive cross-functional projects from concept to execution with accountability and urgency
Hold confidential financial, operational, legal, and strategic information with absolute discretion
You
5+ years in operations, executive support at a senior level, or business coordination — ideally in food, manufacturing, or a fast-scaling business
Strong financial literacy; advanced Excel; QuickBooks preferred
Demonstrated AI fluency in business contexts
Sharp commercial judgment and an entrepreneurial mindset
Polished, professional, discreet
Calm under pressure; thrives on shifting priorities and extended hours during peak periods
Comfortable with occasional travel (Canada / U.S.)
Post-secondary education in business, accounting, or related field
Valid driver's license, reliable transportation, legal ability to work in Canada
The offer
$110,000–$120,000 base + up to $10,000 performance bonus
Growth tied directly to company expansion
In-office, Kelowna, BC | Monday–Friday or Tuesday-Saturday, weekends as deadlines require
