We’re offering an exciting opportunity for a Personal Assistant to provide dedicated support to our Director of Bus Reform while also delivering high-quality administrative assistance to the wider team. This varied and impactful role will see you coordinating complex diaries, preparing high-quality meeting packs, taking minutes, managing expenses, and ensuring administrative processes run smoothly. You’ll also be instrumental in developing and maintaining efficient office systems, streamlining procedures, and building strong working relationships across departments to ensure the smooth delivery of projects.
You’ll be expected to work in the office two to three days per week, in line with the Director’s schedule, and accompany them on site visits when required.
We need someone who is organised, adaptable, and committed to delivering exceptional support to a team that makes a positive impact to the region.

What you will be doing
• Deliver proactive, timely, responsive and high-quality PA support
• Build and maintain positive relations and open communication within the team
• Engage with the WMCA Business Support Team and provide a high standard of customer service to stakeholders and staff
• Provide and ensure that support and assistance is available for projects and services being implemented by the WMCA
• Manage, co-ordinate and maintain Senior Manager calendars including meetings, appointments and records in accordance with pre-set priorities, deadlines and requests
• Plan and co-ordinate associated travel and accommodation arrangements
• Receive, sort and prioritise all incoming communications, mail and email
• Manage and plan cover arrangements ensuring that sickness/holiday absences, lunch breaks, etc are adequately resourced
• Ensure that all records and filing systems are maintained and kept up to date
What’s essential
• Excellent written and spoken communication skills
• Strong interpersonal and team working skills
• Experience of co-ordination, preparation and support to meetings; including booking venues, meeting invites, circulating agendas and papers, note taking and following up and progressing actions
• A calm and professional manner, with ability to effectively liaise with senior management and executives
• Ability to deal with difficult or sensitive situations tactfully and with diplomacy, always maintaining a high degree of confidentiality
• A flexible approach to work
• Ability to network effectively with external and internal contacts, including senior management, and maintain excellent relationships
• A good standard of education, including maths and English
Location.
The location for this role is 16 Summer Lane with at least 2-3 days a week spent in the office.

We advertise salary ranges, with new appointments typically starting at the lowest salary point. In exceptional cases, the salary point may be adjusted to secure the best candidate. Our children’s services volunteers help the charity to deliver essential services in local communities, providing support to over 300,000 children, young people and their families. This role provides a great opportunity to join our fantastic children’s services and help make a real difference. **Children’s Activity Support** volunteers work across a range of groups, from Children’s Centre’s with pre-school children and Short Breaks services for children with disabilities, to Mental Health Support Groups and Young Carers Groups. We are looking for volunteers, with a passion for making a difference in children’s lives, a fun and approachable attitude and an ability to engage young people in worthwhile and enjoyable activities.
Our groups need support with a range of tasks to help them run smoothly. Could you help with tasks such as planning activities, setting up and packing away, making refreshments, collecting feedback, and much more?
• Tasks: Planning and organising group activities, which take into consideration age, abilities and interests of members.
Setting up group activities in advance and clearing away afterwards. This might include preparing refreshments/snacks, organising the layout of the room, preparing resources and tidying the room after the group.
Assisting children and young people to improve their self-confidence, develop social skills and build positive relationships.
Role modelling positive behaviour and interactions during sessions.
Collating and evaluating feedback from children, young people and parents.
Adhering to Barnardo's policies and procedures at all times, including Barnardo's: Safeguarding; Equality, Diversity and Inclusion; Health & Safety; Data Protection; Confidentiality; Recording policies and procedures.
Participating fully in training and supervision.
