THE ROLE
The Client Coordinator is the first voice and face of Cowie Construction. You will manage all inbound inquiries, qualify leads, book consultations, and ensure our pipeline moves forward without gaps or delays.
This is not a passive administrative role. You will be expected to take initiative, follow through without being asked, and bring genuine energy to every client interaction.
You will start two days per week during a probationary period. The right person will grow with the business.

KEY RESPONSIBILITIES
Client Communication & Lead Management
- Serve as first point of contact for all inbound inquiries — phone, email, social media, website
- Respond to all leads same-day or faster
- Qualify potential clients and book consultations
- Follow up consistently until a clear outcome is reached — you don't let leads go cold
Pipeline & CRM Management
- Manage client schedules, consultations, and appointments
- Track all leads and interactions in our CRM system
- Maintain a clean, organized pipeline with zero missed follow-ups
Administrative Support
- Maintain accurate records of client interactions and project details
- Assist with preparation of proposals and client documentation
- Support onboarding of new clients into our systems
Working With the Owner
- Take direction quickly and action it without extended discussion
- Ask smart, focused questions at appropriate times
- Represent the business professionally on all external calls and meetings

REQUIRED SKILLS & EXPERIENCE
- 2+ years in customer service, sales, or administrative coordination
- Strong verbal and written communication skills
- Experience managing schedules and client communication
- Comfortable learning and using CRM systems
- Able to work independently with minimal supervision

- Experience in construction, renovation, or real estate
- Familiarity with Job Tread, Pipedrive, or similar CRM
- Experience booking high-value service appointments
