Position Summary
We are seeking a detail-oriented and organized Client Services Administrator to support the administration of pension and financial services programs, while providing administrative support to our advisory and consulting teams.
In this role, you will work with data, documentation, and processes related to pension plans and financial services. You will assist with maintaining accurate records, processing transactions, preparing regulatory filings, and responding to client and member inquiries. You will also support financial advisors with administrative coordination and documentation.
This role is well-suited for individuals who enjoy working in structured, detail-driven environments and are comfortable handling complex information. While pension experience is an asset, we welcome candidates from finance, accounting, legal/paralegal, insurance, or other administrative backgrounds who are eager to learn and grow within the pension and financial services industry.
Key Responsibilities:
Pension & Client Administration
Process pension-related events such as retirements, terminations, death benefits, and relationship breakdowns
Maintain and update client and member records with a high degree of accuracy
Perform quality control and validation of data, including year-end processing and reporting
Prepare and file regulatory documents
Interpret plan provisions and apply applicable pension legislation (training provided)
Respond to inquiries from plan members and clients
Identify opportunities to improve processes
Assist with onboarding new clients and plan implementations
Administrative & Advisor Support
Assist financial advisors with preparation and processing of documentation
Coordinate documentation with investment and insurance providers
Schedule meetings and manage calendars
Prepare follow-up materials and communications
Maintain organized filing systems
Provide general administrative and operational support
Support special projects and other initiatives
Qualifications and Attributes
Post-secondary education in business administration, finance, accounting, legal studies, or related field (or equivalent experience)
Minimum 2+ years of experience in an administrative, financial, legal, or insurance role
Strong attention to detail and accuracy
Strong analytical and problem-solving skills
Experience working with data, documentation, or regulated processes
Ability to learn new concepts including policies and legislation
Strong organizational and time management skills
Excellent communication skills
Proficiency in Microsoft Office (Excel, Word, Outlook)
Successful completion of a cleared criminal background check is required.

Familiarity with regulatory environments
CEBS designation or interest in pursuing
Bilingualism (French)
