Job Title: Client Services & Operations Coordinator (Accounting & Tax)
Location: Vancouver, BC (Hybrid – part remote)
Compensation: ~$26–$30/hour (based on experience)
Type: Full-Time (open to part-time transition)

Role Overview
We are hiring a Client Services & Operations Coordinator to own the client experience from first contact through onboarding, ongoing communication, and invoicing.
This is a hybrid role combining:
Client communication (email + phone)
CRM/marketing/workflow management
Administrative coordination
Data entry and bookkeeping support
You will work directly with the Principal and play a central role in keeping clients organized, informed, and satisfied.
Key Responsibilities
Client Communication & Coordination
Handle inbound and outbound client communication (email, phone)
Ensure timely responses and follow-ups
Guide clients through onboarding and document collection
Maintain a professional, consistent client experience
CRM & Workflow Management
Manage and update client records in CRM (Odoo)
Track client status from inquiry to invoicing
Ensure no clients fall through the cracks
Coordinate internal workflow and task progression
Administrative & Operational Support
Organize client files and documentation
Assist with invoicing and billing coordination
Support general admin tasks and process improvements
Bookkeeping Support
Basic data entry and categorization
Assist with simple reconciliations
Marketing & Outreach Support
Assist with social media posting and basic outreach coordination
Support inbound/outbound lead handling and follow-ups
What You Will Not Be Doing
Preparing tax returns
Performing accounting work
Qualifications
Required
2–4 years experience in a client-facing administrative, operations, or coordinator role
Strong written and verbal communication skills (English)
Strong technology skills (google suite, Microsoft suite, AI tool, email, etc.)
Highly organized and detail-oriented
Comfortable managing multiple clients/tasks simultaneously
Experience with CRM systems
Preferred
Experience in an accounting, legal, or professional services environment

Onboarding is smooth and efficient
CRM is always accurate and up to date
Work is completed as assigned and on time
The Principal is freed up from routine coordination tasks
Work Structure
Hybrid (remote + weekly in-person meetings)
Flexible but reliable working hours
Direct/daily collaboration with the Principal

Pay: $27.50-$30.00 per hour
