About the Role
As our General Insurance practice continues to grow, we are seeking a Client Services Specialist to join our expanding Client Services team.
Reporting to the Client Services Manager, you will play a key role in managing client matter opening, compliance of services standards including billing and reporting, and relationship support across the General Insurance team. This is a hands-on and stakeholder-facing role, partnering closely with legal teams and clients to ensure accurate, timely and compliant client services.
The role offers genuine flexibility, with the ability to work from home, office or a combination of both. We are considering candidates in Melbourne, Sydney, Canberra and Brisbane.

Responsibilities
Managing new client setup including client contacts, billing rules, rates and reporting requirements
Managing new matter setup including matter parties, matter contacts, reserves, deductibles
Maintaining accurate client and matter data across internal systems and reporting platforms
Acting as a key point of contact for client queries and billing-related portal management
Managing end-to-end client invoice processing including edits, write-offs, reversals and dispute resolution in line with strict client service standards and billing guidelines
Entering and maintaining client agreed volume discounts and alternative billing arrangements in the firms practice management system
Supporting legal teams with rate management, alternative fee arrangements and guideline interpretation
Generating and validating LEDES files and overseeing submissions through clients' e-billing portals
Monitoring compliance with client service standards, billing protocols and proactively resolving discrepancies
Managing user access within client e-billing platforms
Updating internal systems with client updates, including SharePoint, names, addresses, contacts
Providing guidance and support to Billing Administrators and team members as required
General administration duties including audit responses, updating the client database and internal client and service line email distribution lists
Contributing to continuous improvement initiatives within the Client Services function
About You
Experience in a similar client services, billing or revenue role within a law firm
Strong working knowledge of billing systems (ideally Aderant Expert) and e-billing platforms
High level knowledge of Excel
Strong understanding of client billing guidelines and insurance billing requirements
Confident communicator with the ability to liaise directly with legal teams and clients
Highly organised with strong attention to detail
Ability to manage competing priorities in a high-volume environment
