We’re currently looking for a full-time Client Success Associate to join our growing team. This role is located in Winnipeg, MB and will be based out of our Home Run Sports location (20 de la Seigneurie Blvd).
The Client Success Associate is responsible for accurately converting client quote packages received from Client Success Specialists into finalized sales orders in our system. This role ensures that quotes are flipped to sales orders timely and accurately, product is procured, and the order is monitored to ensure achievement of the original requested ship date for our client. This role plays an essential part in delivering a positive client experience by ensuring orders are processed quickly, accurately, and in alignment with company procedures.
Responsibilities
· Management of a group email ensuring timely, complete, and accurate responses to the requester
· Timely conversion of a quote package into an accurate order within NetSuite.
· Confirm product stock availability in our system as well as checking vendor websites
· Creation and maintenance of vendor purchase orders (product and decoration) to ensure all fields are updated consistently and accurately including pricing
· Work closely with suppliers and vendors to track inventory, confirm shipments, and resolve issues quickly
· Creation of decoration work orders and updating our integrated systems with appropriate information
· Place vendor returns (VRA’s) and replacement orders to ensure constant flow of product to achieve the original requested shipment date to our client
· Appropriate management of change orders including consistently updating appropriate parties regarding back orders, short shipments, and vendor errors with corresponding updates made in our integrated systems
· Coordinate with procurement, art services, decoration (including 3rd party), and distribution centers to ensure orders stay on schedule
· Monitor order status and follow up on potential delays, providing timely updates and solutions to clients
· Manage and follow up with account managers using order actions to keep orders on schedule.
· Review open order report daily to ensure orders are progressing as planned
· Review purchasing report on a weekly basis
· Contribute to continuous improvement by identifying and suggesting ways to streamline order flow, communication, and system processes
· Other duties as assigned by management
Requirements:
· Over 2-year's experience in a customer service setting
· Strong communication skills, both verbal and written
· Excellent organizational skills and attention to detail
· Able to function as part of a team in a fast-paced work environment and able to work independently
· Experience with Microsoft Office (Excel, Outlook, and Word), Microsoft Teams and OneDrive
· Experience with NetSuite a definite asset
· Trello experience a bonus
· Versatility, flexibility, and a willingness to work within frequently changing priorities
