COLLECTION SCHEDULER

The Collection Hearing Assistant I will perform clerical and administrative duties in support of a high volume collections practice of law firm. Responsibilities include scheduling hearings, depositions, mediations and trials; communicating and coordinating dates with the parties, counsel and the court; managing calendars for attorneys; reviewing and processing incoming and outgoing mail related to hearings; preparing and processing documents for filing with the court.

ESSENTIAL FUNCTIONS

Scheduling

Review workflow reports to determine type of hearing needed and priority level

Obtain hearing dates from the Court and communicate with the parties to coordinate a date

Update master department calendar and attorney calendars with hearing information

Obtain Local Counsel/ Hire-Out attorneys to attend out of area hearings

Document Production and Processing

Prepare basic pleadings such as Notices of Hearing and file with the court

Prepare and send hearing packages to Local Counsel/ Hire-Out attorneys via Fed Ex or email in advance of hearing

Process incoming mail received electronically and/or by hard copy and x-code for proper queue and follow-up

File Management

Enter notes/record activities in case management system

Complete tasks assigned via various queues within timelines set by the attorney and supervisor

Prioritizes work appropriately based on needs of the attorneys and case deadlines

Communication

Communicate with judicial assistants, opposing counsel, attorneys, and litigants by e-mail, telephone, or correspondence

Communicate with supervisor and supervising attorney regarding case files and workload

Education & Experience

Minimum High School Diploma or equivalent; college degree preferred but not required

Minimum of one year of legal experience
