REPORTING RELATIONSHIP: The Manager of Community Services
QUALIFICATIONS: Relevant degree or diploma ie promotions, marketing skills and event planning, knowledgeable of the sector relating to persons with disabilities; strong advocacy skills; skills that demonstrate leadership, goal setting, problem solving and organizational skills; proficiency in using online tools such as Office 365, Canva, Mailchimp, social media platforms; excellent verbal and written communication skills; ability to build alliances and partnerships; valid drivers' license and required insurances. Standard First Aid/CPR Certification/CPI Certification, as well as supervisory skills/experience an asset.
JOB SUMMARY: The Community Relations Team Lead will oversee the volunteer and student placement program in conjunction with management to address the needs of Hutton House programs and events. The position also involves planning and marketing events, attending events and promoting the organization as a whole.
JOB CATEGORY: 22.5 hours per week. Hourly rate of pay. Flexible dependent on events including evenings, weekends.
RATE OF PAY: $25.00 per hour
KEY DUTIES AND RESPONSIBILITIES:
1. Community Relations
Develop promotional literature regarding activities/events and volunteer and student opportunities. i.e. brochures, flyers, Enewsletters etc.
Frequently working with Canva, updating websites, use Mailchimp and other marketing tools.
Use social media accounts ie Facebook, Twitter, Instagram, LinkedIn, etc., to promote Hutton House activities/events and address volunteer/student needs
Be a member of the Online Auction and Golf Tournament Committees assisting with organizing the annual online auction and golf tournament. This includes organizing and recruiting volunteers, recruiting sponsors and prizes and be in attendance on the day of the event to support volunteers in the completion of their duties and ensure overall event success.
Attend and assist with the organization of events to support Hutton House ie job fairs, celebrations/parties, program events etc.
Represent the organization at community public speaking engagements and networking events.
Coordinate the content and distribution of the Enewsletters quarterly to communicate with all stakeholders and the general public.
2. Oversee Volunteers and Student Placements
Recruit and screen volunteer and student placements internal to Hutton House programs and services.
Provide orientation and training to all volunteers and students ensuring all placement requirements are completed: Application Form, Police Records Check, Reference Checks, Confidentiality Agreements, Health and Safety Training, Accessibility for Ontarians with a Disability Act and any other requirements.
Monitor the volunteer and student placement program including evaluations utilizing feedback from the volunteer, supervisors, participants and any other relevant parties. i.e. parents
Foster partnerships with other organizations in the community to recruit volunteers and involvement with Hutton House.
Ensure volunteers and students receive recognition for their valued contributions to Hutton House. ie organize National Volunteer Week celebrations and Provincial Volunteer Award nominations, etc and establish methods for ongoing communication.
Work as a team with supervisors to address needs and create job descriptions for volunteer and student placement positions including events.
Liaise with staff supervising volunteers and students to ensure the placement is mutually beneficial to both.
Maintain volunteer records through computer tracking systems in order to provide monthly statistics and an annual report.
Participate as a member of LAVA, The London and Area Association of Volunteer Administrators and any other networks/committees that promote voluntarism and student involvement.
Implement the Volunteer Handbook and Student Handbook and update as necessary.
Explore and develop ongoing training opportunities for volunteers.
3. Safety
Maintain a safe, clean and orderly work environment.
Adhere to the Health and Safety Policy of Hutton House in accordance with the Occupational Health and Safety Act.
Maintenance of fire, safety and health conditions in compliance with Workplace Safety and Insurance Board (WSIB), WHMIS, other legislation and Hutton House policies.
Correct any offences or concerns identified by the Health and Safety Committee; reporting promptly on any physical or health condition that may affect employees, participants, or volunteers.
Respond to emergencies and completes/submits accident/incident reports on a timely basis.
4. Working Relationships
Adhere to all policies of the organization to ensure a safe supportive work environment.
Participate as a positive team member with all stakeholders ie staff, participants, students, volunteers, community members etc.
Respect and adhere to confidentiality in all communications with others.
Attend and participate in staff and/or committee meetings and other events of the organization as required.
Keep the supervisors informed of activities on a regular basis, including the submission of monthly, quarterly and annual reports.
5. Other
Advocate to ensure the dignity and rights of persons with disabilities are advanced.
Engage in professional development as required.
Participate in a performance evaluation annually.
Other duties as agreed upon.
