Broad Purpose
The Compliance and Training Officer coordinates training meeting logistics and provides data entry and administrative support within the Compliance and Training Team, with a focus on tasks that relate to the delivery of the company’s training activities and the maintenance of training documentation. Additionally, the Compliance and Training Officer may act as a Regional Privacy Contact and be responsible for assisting the Avance Privacy Officer with personal information handling activities in compliance with Avance Clinical Standard Operating Procedures (SOPs) and relevant regulatory standards.
Core Responsibilities
Compliance
Provide administrative support to the Vice President, Compliance and Training, and to the Compliance and Training team, in relation to the implementation of ICH GCP and other organisational strategies that ensure compliance with Good Clinical Practice (GCP) and internal procedures, including:
o Performing data entry and report generation within selected training systems
o Generation and review of training compliance reports
o Follow-up of training non-compliance issues
Other duties as directed by Line Management or delegate in line with skills, experience and/or qualifications.
Staff Development and Training
Coordinate training meeting logistics and provide administrative support within the Compliance and Training Team to ensure that company training activities are delivered per required schedules and in accordance with Avance internal procedures, including:
o Scheduling training activities in conjunction with the Vice President, Compliance and Training
o Liaising with training presenters
o Preparing training agendas and training material
o Distributing training meeting invitations
o Co-ordinating training meeting logistics, including meeting room and equipment availability and set-up.
Proactively maintain relevant company training documentation, including:
o Filing of training materials and training documentation
o Completing training documentation trackers
o Maintaining soft-copy Avance Clinical employee training folders
Regional Privacy Contact
When assigned to act as Regional Privacy Contact, proactively assist the Avance Privacy Officer with personal information handling activities, including:
o Initial receipt, tracking, assessment and follow-up of suspected privacy and data breaches
o Entering and maintaining all required details on the Data Breach Register
o Generation and/or review of privacy-related questionnaires and reports
o Assisting with any internal queries relating to privacy practices and requirements
Other duties as directed by Avance Privacy Officer in line with skills, experience and/or qualifications.
Qualifications, Skills and Experience
Minimum 2 years of experience operating within a highly regulated environment.
Strong attention to detail, high level of accuracy.
Ability to set priorities, analyse problems, formulate clear and effective solutions, and coordinate a number of tasks simultaneously.
Ability to liaise with others in a friendly and professional manner.
Proven ability to work effectively both autonomously and as part of a team.
Willingness to work in, and be supportive of, a positive and dynamic team culture.
Previous exposure or experience in a privacy-related role, or an awareness of personal information handling practices (desirable, where applicable).
Scientific or medical background (desirable).
Knowledge of Good Clinical Practice and Good Documentation Practice (desirable).
Intermediate to advanced skills in MS Office suite.
