Key Responsibilities
Project & Event Management
• Assist the project director in project planning, timelines, and task tracking for the global conference from concept to execution.
• Coordinate internal resources and third-party vendors to ensure flawless event delivery.
• Manage cross-functional collaboration with the creative, marketing, and operations teams.
Sponsorship & Delegate Sales
• Assist the project director by working closely with the Business development Manager in having an oversight of sponsorship outreach, pitch decks, and relationship management to secure commercial partnerships.
• Assist the project director by working closely with the Business development Manager in having an oversight of the delegate acquisition strategies, sales pipeline tracking, and post-event reporting.
Registration & Attendee Management
• Oversee the registration process including systems setup, data integrity, and communications.
Design & Brand Management
• Collaborate with creative teams to develop all event branding, signage, and digital/print assets in alignment with brand guidelines.
Exhibition & Floorplan Management
• Plan and manage exhibitor onboarding, logistics, floorplans, and booth layouts.
• Serve as point of contact for exhibitors pre-event and on-site.
Vendor & AV Coordination
• Liaise with external vendors (catering, logistics, printing, etc.) to ensure deliverables meet event standards and deadlines.
• Work closely with the in-house AV and tech teams to manage production needs, stage setup, and content delivery.
VIP & Protocol Handling
• Coordinate the end-to-end management of VIP attendees, including itineraries, hospitality, and protocol alignment.
• Ensure seamless airport transfers, hotel arrangements, and concierge services.
Required Skills & Attributes
• Excellent communication skills (written and verbal) with the ability to manage senior stakeholders and external partners.
• Meticulous attention to detail – nothing slips through the cracks.
• Calm under pressure – thrives in fast-paced, deadline-driven environments.
• Strong team player with a positive, can-do attitude and ability to collaborate cross-functionally.
• Proven project management experience across complex, multi-stakeholder events.
• Able to juggle multiple workstreams and adapt quickly to changing needs.
Qualifications & Experience
• 5+ years of experience in event management, preferably with exposure to global or large-scale conferences.
• Demonstrated success managing sponsorships, exhibitions, or commercial partnerships is a strong advantage.
• Familiarity with Cvent
• Experience working with creative and production teams, including AV.
• Strong command of English; additional languages are a plus.
