Job Description

Position Overview

As the Facilities Coordinator, you will perform general administrative tasks and support Invenergy personnel. You will be responsible for backing up the receptionist coverage, floor management, general upkeep of office spaces, mail distribution and coordination and management of our soon to opened divisible multi-purpose rooms.

Responsibilities
• Sort and distribute all incoming mail and packages to the appropriate floors and individuals.
• Distribute business cards to customers
• Function as reception back up (when receptionist is on lunch/PTO), answering main line phones, greeting customers, ordering office supplies/kitchen supplies
• Maintain tidy appearance of all conference rooms and cafes.
• Keeping conference room stocked with coffee mugs, drinking glasses and pitchers.
• Keeping kitchen stocked with supplies and running and emptying dishwasher/cleaning out the coffee pots
• Wipe down counters as needed
• Stock printer stations and Multi-Functional Devices (MFD) areas with office supplies & copy paper. Maintain inventory of necessary supplies in the office supply closets and printer stations.
• Maintain shipping supplies in each office supply closet including Fed Ex, UPS and Certified Mail envelopes, boxes and paks
• Maintain sanitizer stations with supply of wipes, sanitizer bottles and pumps
• Assist customers (employees) with any requests or questions
• Check freight elevator vestibule regularly for any incoming packages and mail
• Monitor light bulbs out on each floor and create work order for repairs
• Assist in overflow tasks such as creating expense reports, requisitioning Purchase Orders, mailings for departments and other general office tasks.
• Assist with office moves and seating changes
• Update employee name tags with onboards, moves and offboards

Required Skills
• 0-5 years of experience with an interest in administrative and general office support functions.
• High School Diploma or GED required.
• Proficient in all MS Office Suite including Outlook, Word and Excel.
• Excellent communication and organization skills. Ability to take initiative, identify and solve problems. Requires basis analytical skills.
• Professional and able to maintain confidential information.
• Ability to work in a team and be detailed oriented.
• Exceptional customer service skills.
• Able to prioritize assignments, multi-task, and re-prioritize assignments as needed.
• Physical requirements include stooping, standing, walking and ability to lift and carry heavy loads of 30 lbs or more. Respond to client inquiries and concerns. Ensures timely and quality service delivery to clients. Follows up with clients to ensure customer satisfaction.

Base Pay

$23.37 - 31.94 USD Hourly

Bonus: 15%

The base pay range reflects the minimum and maximum target salary for the position. Invenergy considers a number of factors when determining base pay offers such as the scope and responsibilities of the position and the candidate's experience, education and skills.

In addition to base pay, the total annual compensation package may also include eligibility to participate in our bonus program(s) which are designed to reward individual and company performance. Your recruiter can share more about bonus eligibility for this position during the hiring process.
