Senior Administrative Assistant – Office Manager Support (Bilingual Spanish)
United Staffing Solutions is representing a growing construction company in Maspeth, Queens seeking a highly organized and detail-oriented Senior Administrative Assistant to directly support the Office Manager in a temp-to-perm opportunity.
This role is more hands-on and involved than a traditional administrative position. The Senior Administrative Assistant will play a key role in supporting project documentation, financial tracking, and client coordination within a fast-paced construction office with a team of 5 in-office staff supporting a company of approximately 100 employees.
The ideal Senior Administrative Assistant is proactive, computer-savvy, and comfortable working closely with leadership while managing multiple priorities.
Schedule: Monday–Friday, 8:30 AM–5:00 PM or 9:00 AM–5:00 PM (30-minute lunch)
Pay: $23–$25/hour while temporary; $25–$28/hour upon permanent hire (depending on experience)
Location: Maspeth, Queens (Accessible via L train and multiple bus lines, metered and non-metered street parking are also available)
Job Type: Temp-to-Perm

Responsibilities for the Senior Administrative Assistant:
• Supporting the Office Manager with day-to-day operations and administrative coordination
• Assisting with project documentation, including contracts, invoices, and financial records
• Working closely with project-related financials, tracking, and documentation accuracy
• Communicating with clients, vendors, and internal teams to support ongoing projects
• Managing high-volume email correspondence and ensuring timely responses and follow-ups
• Maintaining and organizing detailed digital and physical project files
• Supporting QuickBooks-related tasks, including data entry, tracking, and coordination
• Coordinating schedules, meetings, and administrative workflows for the Office Manager
• Helping streamline processes and improving overall office efficiency
• Acting as a key point of support to ensure smooth day-to-day office operations
Qualifications for the Senior Administrative Assistant:
• 4–6 years of administrative experience required
• Experience supporting an Office Manager or senior staff strongly preferred
• Experience working with project documentation and/or financial tracking required
• Construction industry experience is preferred
• Bilingual English/Spanish required
• Proficiency with Microsoft Office, including Excel, Outlook, and Word
• Experience using QuickBooks required
• Strong computer literacy and ability to learn new systems quickly
• Excellent organizational, communication, and problem-solving skills
• Ability to working effectively in a fast-paced environment
