BevNET.com is the leading media company serving the non-alcoholic beverage, craft beer, and natural foods industries. As an industry hub for these communities, we produce industry conferences and publish web sites as well as a print magazine. While we've been in business for over 25 years, BevNET is still a young company that works hard and has fun doing it. Our offices are casual and laid back with the latest food, beverage, beer and spirits products flowing in daily. We have unlimited vacation, free staff lunches on Tuesdays and most days there is a barista in the Newton office who can make espresso drinks (or teach you how.) The company is privately-held, growing, and profitable, with no outside investors.

POSITION

We are seeking a dynamic and results-driven Corporate Events Coordinator. This is a full-time role which is located in Newton, MA. The Event Coordinator will be responsible for planning and managing aspects of BevNET.com’s conference series. The ideal candidate, who will be a member of the events team, will be a creative, organized, and collaborative individual with a strong understanding of event management, partner relations, and marketing. The Events Coordinator will report to the Event Manager.

REQUIRED SKILLS

• Extremely organized - exceptional in Google Suite, data management,

• Strong analytical and negotiating skills.

• Customer Service - high-level customer service standards and prompt communications.

• Hospitality Industry Experience - understanding of basic meeting coordination i.e. sponsorship management, contracts, BEOs, hotel rooming list, and movers/shipping processes.

• Creativity - the ability to think outside the box when challenged with new ideas/concepts.

• Skilled at managing and calmly resolving unforeseen challenges onsite at events.

• Working conditions include Hybrid - in-office, remote work, and travel, including overnight travel.

• Travel to events - available for travel to 3-4 trips per year. (1) program will require the Event Coordinator to be out of the office for (12) days.

• Team Player - fun, inspired individual, who is confident working within and collaborating with a high-energy, high-expectation team and is willing to ‘roll up’ their sleeves to help where needed.

RESPONSIBILITIES

• Assist in the daily operations necessary to prepare for large-scale live conference series.

• Point of contact for sponsors after the sale is complete to ensure positive sponsorship relationships. Will liaise with sponsors on program details, deliverables, and general Q&A.

• Administration duties for sponsors including logo management, registration, collection of required documents, and in-house admin system organization.

• Manage event registration to include badge design, maintain registration equipment, and set up and test equipment onsite at the registration desks.

• Manage and monitor staff and attendee rooming blocks. Closely monitor hotel night pickup to ensure BevNET does not fall into attrition.

• Solicit bids from service providers (for example, shippers, movers, furniture vendors, etc.).

• Collaborate with the CMO and Marketing Team on various aspects of event marketing.

• Budget management - expertise in cost containment and working with the financial team. Ongoing review of the budget and event bills to ensure accuracy.

• Facilitate virtual event production.

• Support the Event Manager and Executive Director of Events as needed on special projects.

• Organize and maintain event-related item inventory.

• Create post-event reports to measure success accurately and to enhance future events.

QUALIFICATIONS

• Bachelor's degree in Event Management, or Event Marketing

• Preferred 2-4 years of experience in event planning, coordination, or logistics.

• Preferred Certified Meeting Professional, or someone working toward the designation

• Attention to Detail and Strong Organizational abilities

• Strong Communication and Customer Service skills

• Ability to multitask and work under pressure

• Physical ability to stand, walk, for numerous hours and lift up to 25 pounds.

• Previous experience in the Food and Beverage industry is a plus

COMPENSATION

The salary range for this position is $55,000. - $70,000. Salary offered may vary depending on, but not limited to, job-related knowledge, skills, and experience. BevNET has a comprehensive benefits package including health, dental, as well as 401K plans, and unlimited paid time off
