Job Description
The Event Program Manager will oversee the planning and execution of 4 key events (2 virtual and 2 In-person) across the year. This role requires the ability to multitask, ordinate, work with cross-functional teams, and ensure each event delivers a memorable experience aligned with the company’s brand and objectives.
Key Responsibilities
1. Event Planning and Strategy:
- Connect with various stakeholders, understand the event concepts and strategies, objectives, target audience, and desired outcomes.
2. Project Management:
- Coordinate event timelines, deliverables, and logistics, ensuring that all elements come together seamlessly.
- Manage tasks and deadlines, and oversee event-related logistics keynote speaker videos, slides, etc
- Track event milestones, prioritize tasks, and coordinate with various departments to ensure each aspect is completed on time.
- Send out emails
3. Vendor and Partner Coordination
- Collaborate with sponsors, speakers, and partners, aligning their involvement with event goals.
- Ensure vendors and partners are briefed on event specifics and deliver on commitments.
4. Event Marketing and Promotion
- Collaborate with the marketing team to develop promotional strategies, event collateral, and communication plans.
- Oversee event-related digital assets, social media posts, and email marketing to drive awareness and attendance.
- Manage event websites, registration platforms, and attendee engagement tools.
5. Post-Event Evaluation and Reporting
- Conduct post-event evaluations, collecting feedback from attendees, stakeholders, and team members.
- Analyze event performance, reporting on attendance, engagement, and key metrics.
- Prepare a post-event summary report and provide recommendations for future improvements.
Requirements
-Bachelor’s degree in Event Management, Marketing, Business, or related field.
- 3+ years of experience in event planning, program management, or related roles.
- Proven experience in project management and managing multiple events at once.
- Strong proficiency in Google Sheets, Smartsheet, Google Slides
- Strong communication and interpersonal skills to engage effectively with internal teams, vendors, and stakeholders.
- Ability to adapt to a fast-paced environment and handle last-minute changes.
- Creative problem-solving skills and a proactive approach to managing challenges.
Preferred Skills
- Experience with virtual and hybrid events platforms.
- Knowledge of event marketing strategies and tools.
- Familiarity with customer relationship management (CRM) systems
