About the Role – How you will Contribute to the Service:

Join our team as a Court Documents Clerk (Temporary as Required) and play a key role in supporting police operations in the Halton community. In this position, you will manage court documents, disclosure materials, and digital evidence with precision and care. Your work ensures that cases progress smoothly, deadlines are met, and information is accurate, directly assisting officers, investigators, and Crown Attorneys every day.

In this role, you will coordinate a wide range of court-related documents and digital evidence, including summonses, warrants, Crown Briefs, and disclosure materials. You will ensure accuracy, completeness, and timely processing while collaborating with officers, prosecutors, defense counsel, and court administration. By tracking court dates, maintaining records, and managing disclosure, you will help keep police operations organized, efficient, and running smoothly.

Here's what you’ll get to do:

Reviews arrest reports, prepares charges, and verifies Criminal Code sections, dates, and details.
Queries various databases (CPIC, RCMP, MTO) to gather necessary information and manage charges.
Logs and tracks accused persons, charges, and court dates, distributing and filing documents as needed.
Follows up with officers to obtain missing charges and documents, ensuring proper processing.
Prepares and processes court documents (summons, warrants, Crown Briefs, etc.), ensuring accuracy and timely submission.
Prepares Crown Briefs by logging, matching documents, and creating synopses for the Crown's office.
Prepares and submits bail/WASH briefs, ensuring accurate documentation for court.
Redacts sensitive information in brief materials and communicates with Crown attorneys, defense lawyers, and court administration.
Responsible for Electronic Disclosure – access the Digital Evidence Management System to store video, audio recordings, photographs, and other relevant digital materials related to an occurrence and investigation provided for disclosure.
CBRG is responsible for the complete process of locating, acquiring, classifying, exporting, converting and sharing both ICCS (In Car Camera System) and BWC (Body Worn Camera) video files for the purpose of disclosure. From beginning to end, the success and timeliness of disclosing available videos and introducing them as evidence to a case, solely relies on CBRG members.
Additional disclosure is added to the server drives and NICHE, and photos/videos/interviews uploaded to Smartsquad and AXON.
Manages the database to track and follow-up on disclosure for officers.
Responsible for Provincial Offences Act cases which involves communicating and coordinating with provincial prosecutors to obtain further disclosure necessary from officers and to relay the completed packages to prosecutors directly when they have system issues accessing what previously had been sent.
Requests media or documentation from other organizations as needed.
Monitors upcoming court dates, notifies officers, and ensures all documentation is submitted.
Assists officers with court-related documents, including Judge's Orders and Arrest Warrants.
The Court Documents Clerk position involves exposure to sensitive, confidential, and at times traumatic information, including case details, victim statements, and investigative materials. As such, the position requires the member to engage with emotionally challenging content in a professional and resilient manner.
Other related duties as assigned.


What you’ll Bring to the Role:

Education, Certifications and Qualifications: High school education.


Previous Experience, Knowledge and Skills:

Minimum of one year of administrative or related work experience (i.e. Court/legal documents).
Knowledgeable about Adobe E-briefs is an asset.
Knowledge and experience in transcribing, compiling, and cross-indexing Crown Briefs
Familiarity with the Criminal Code of Canada and the Court System
Knowledge of police organizations, and/or a law enforcement background
Post-Secondary certificate/diploma or degree in a related field an asset

Computer skills: Excellent computer skills: Microsoft Outlook, Word, Excel and Adobe etc.


Work Schedule: Must be available to work twelve (12) hour shifts. Shifts are 5am-5pm and are scheduled 7 days a week, 365 days a year, including weekends and holidays. Full-time members work an eight (8) day rotating schedule of four (4) consecutive shifts, followed by four (4) consecutive days off. Temporary-As-Required employees will be assigned a maximum of forty-four (44) hours per week (Sunday-Saturday) and will be provided at least fourteen (14) days’ notice of their scheduled shifts. Schedule is subject to change based on the needs of the Service. Additional shifts may be offered based on unit needs.

***This role is not eligible for Hybrid work arrangements.

Hourly Rate of Pay: $44.36
