POSITION OBJECTIVE / OVERVIEW
To provide professional, efficient and effective administrative assistance to various departments within Council, to ensure the objectives of the Corporate and Operational Plans are met.
KEY ACCOUNTABILITIES / DUTIES
General administration duties for the various departments within Council;
Operate Council’s telephone system in a professional manner;
Provide professional service to Council’s internal and external customers;
Undertake computer related functions and other clerical and administrative duties;
Undertake cashier duties including receipting of all monies received, and reconciliation and banking of receipts;
Administration of petty cash;
Coordinating and managing Council’s facilities hire system;
Providing backup assistance to Council’s Records Management function including collecting and logging mail and ensuring all corporate information is captured within Council’s operational systems;
Provide support to Council’s Building and Planning, Environment and Local Laws functions;
Assist with preparation of Quotation and Tendering materials, and documents including assessment data entry;
Coordinate and collate timesheets for payroll, and provide administrative and/or backup support to Council’s payroll function as required;
Prepare meeting agendas and minutes;
Prepare recoverable works claims, forward lists of works, forecasts and claims;
Collate and reconcile Contractors invoices for payment;
Develop works orders and monitor completion timeframes;
Assist the Workshop and Works Supervisors with procurement and documentation;
Scan and register plant daily checklists into Council’s Record Management System
Register plant maintenance records into Council’s Record Management System;
Assist with RMPC claims and documentation.
Provide administrative and/or backup support to various roles and departments within Council as required; and
Perform other related duties and responsibilities as directed by the Director of Engineering Services, Manager of Finance and Administration, or the Chief Executive Officer.
WORK ENVIRONMENT and PHYSICAL DEMANDS
This position is an indoor role and requires prolonged periods of sitting at a desk and operating a computer and telephone. The employee may be required to carry out some low-level physical tasks which may include manual handling, bending, kneeling, twisting, squatting and lifting.

Desired Skills and Experience
QUALIFICATIONS, KNOWLEDGE, SKILLS and EXPERIENCE
Essential
Current Queensland ‘C’ Class Drivers licence;
Current General Construction Induction card (or be willing to obtain prior to commencement);
Proven skills in providing excellent customer service, including operating a corporate telephone system in a professional manner;
Demonstrated high level of interpersonal communication skills;
Demonstrated competent verbal and written communication skills, including report writing;
Experience in the handling and reconciliation of monies; and
Sound computing skills, in particular with the Microsoft Office suite of programs.
Desirable
Demonstrated experience in an administrative support role;
Experience with administrative processes within a Local Government Authority;
Experience in Record Management Programs (EDRMS) and Civica computer programs; and
Prior experience in cost reporting, budgets, financial reconciliation and record keeping.
