About the role
Designed In Ink is a busy screen printing and embroidery shop. We’re hiring a Customer Success & Order Coordinator to be the calm, organized point of contact for customers and the internal “traffic controller” for orders.
This role is not a graphic design job. You don’t need an art background. You do need to be comfortable managing multiple orders, asking clear questions, following checklists, and keeping customers updated.
What you’ll do
Customer communication (phone, email, walk-ins)
• Answer customer questions, guide them through the ordering process, and set clear expectations
• Handle order check-ins and reorders using our order status system and scripts
• Collect artwork files and required order details (you are not creating art)
• Order intake & coordination
• Use a checklist to capture complete order requirements (garments, quantities/sizes, placements, deadlines)
• Enter order details accurately and coordinate approvals (proofs, sizes, deposits)
• Route art requests to our artist/digitizer using placeholders and clear notes
• Keep jobs moving by tracking next steps and following up
Quote support (template-based)
• Build quotes using our DecoNetwork templates (no quoting from scratch at first)
• Tag quotes with art placeholders when artwork is pending
• Ensure quotes include correct notes, timelines, and delivery method
• Internal coordination
• Work closely with production to confirm realistic timelines
• Update “Status + Next Step + ETA” so customer check-in calls can be answered quickly
• Communicate blockers (waiting on approval, blanks, sizes, etc.) and keep everything organized
• What success looks like
• Orders don’t stall because of missing info
• Customers get clear updates and timely follow-ups
• Quotes go out accurately using templates
• Proof approvals, deposits, and sizes are tracked consistently
• You stay calm and organized in an interruption-heavy environment
• Must-have skills
• Strong phone and email communication
• Organized and detail-oriented (you like checklists and structure)
• Comfortable juggling multiple priorities and switching tasks
• Confident using software systems (order/quote platforms, email, basic spreadsheets)
• Able to ask clarifying questions and not guess
• Ability to lift 30lb boxes
Great to have (not required)
• Experience in customer service, order entry, project coordination, dispatch/logistics, production admin
• Familiarity with screen printing/embroidery terms
• Experience with DecoNetwork, Missive, Adobe Suite
Work environment (important)
This is a fast-paced custom production business with walk-ins, phone calls, and email requests. We provide structure (templates, checklists, scripts, and daily priorities), but you must be comfortable with frequent interruptions and staying composed.
