Job Description
Key Responsibilities
• Gather, collate, and prepare and verify documents, materials, and information for data entry
• Transcribe source data into the required electronic format
• Perform high-volume data entry using word processing tools, spreadsheets, databases, or other computer software
• Verify integrity of data by comparing it to its source and maintain logs
• Maintain a filing system and protect confidential information
• Research to obtain information for incomplete material
• Retrieve data from the database or electronic filing system in the format requested
• Work closely with the specialists and sales teams
• Clerical duties such as filing, monitoring office supplies, scanning, and printing as needed
• Compliance with processes set and testing new systems and software updates
• Coordinating with departments and locations as required
• Assisting team with client queries, attending phone calls, and attending to gallery visitors when required
Skills and Experience
• Good interpersonal and communication skills (written and spoken English)
• Ability to organise and manage time
• Ability to work well within a team as well as with minimal supervision
• Ability to multitask and meet deadlines
• Attention to detail and ability to focus for extended periods of time
• Ability to perform repetitive tasks with a high degree of accuracy
• Computer literacy and familiarity with various computer programs such as MS Office and a basic knowledge of databases
• Knowledge of administrative and clerical operations and digital and paper filing systems
• Ability to maintain confidentiality and be discreet with data handled
• Willing to adjust to long hours, if necessary, particularly during sale deadlines, exhibitions, and auctions
