Role Overview:
Are you organized, detail-oriented, and skilled with tools like Excel? AltQuad is seeking a motivated Intern to support our operational efficiency. In this role, you will work directly with our timesheet data, helping to manage its collection, consolidate it for reporting, and use it to provide insights that support resource management, project tracking, and client billing. This is a unique opportunity to gain hands-on experience in business operations, reporting, and process improvement within a dynamic, growing company, utilizing key business software.
Key Responsibilities:
● Timesheet and Reimbursements Management & Support:
○ Facilitate the timely and accurate completion of timesheets by our team members (~45 individuals) using our SharePoint-based system.
○ Facilitate the timely and formatted receipt of out-of-pocket (OOP)/ reimbursement claims by our team members using email/any better way using current ecosystem
○ Validate the OOP claims with regards to our existing OOP policy to ensure no defaulted claims are approved or disbursed
○ Assist in developing and implementing streamlined processes or communication strategies to improve timesheet and reimbursement submissions consistency.
● Data Consolidation & Reporting:
○ Consolidate timesheet data and OOP claims data from Excel/SharePoint into a usable format for reporting purposes.
○ Utilize Excel and potentially BI tools (like Power BI/Zoho Analytics) to create, maintain, and update reports and dashboards visualizing key operational metrics (e.g., time allocation, resource utilization).
○ Prepare regular summary reports highlighting operational trends and potential areas needing attention.
○ Assist in preparing reports detailing time spent on client projects for billing support purposes, using consolidated timesheet data.
● Process Improvement Support:
○ Identify opportunities to enhance data collection, management, and reporting processes using available tools.
○ Recommend improvements to the current timesheet structure or data capture process to improve reporting accuracy and efficiency.
○ Collaborate with team members to understand their reporting needs and ensure outputs are relevant and helpful.
Who We're Looking For:
● Currently pursuing or recently completed a Bachelor's or Master's degree in Business Administration, Management, Information Systems, Economics, Engineering, or a related field.
● Strong organizational skills with excellent attention to detail.
● Highly proficient in Microsoft Excel (pivot tables, formulas, data manipulation, charts). Experience with Power Query is a significant advantage.
● Familiarity with data visualization concepts. Experience with BI tools (Power BI, Tableau, Zoho Analytics, etc.) is a plus.
● Good communication and interpersonal skills – comfortable following up with team members.
● Proactive, self-motivated, and eager to learn and contribute.
● Ability to manage tasks effectively in a fast-paced environment.
