Job Title: Front Desk Receptionist
Reports to: Head of Administration/Owners
Position Summary:
Our office is looking for a second Front Desk Receptionist to be part of our warm and welcoming team. The Receptionist will be the first and last person that our patients will see at the office. Your smile and greetings for the patients will carry throughout the day by servicing them accordingly in your administrative duties.
Responsibilities:
- Communication and harmony with your other Front Desk co-worker
- Greeting in & out patients and announcing their presence
- Answering the phones, taking messages, voicemails, scanning, fax, emails, delegating incoming mail, taking photos of patients for their file
- Booking recurrent or new patients experiencing an emergency by following a template guideline, transferring any other new patients to the Head of Admin
- Incoming reports from other offices will need to be scanned in the patients file and given to the appropriate Dentist for revision
- Scheduling patients, taking payments, sending electronical billing to insurances, sending estimates of treatments on behalf of the patient, and following up on response, making recalls to keep the schedule flourished with patients, calling patients to remind them of their upcoming appointments
- Keeping a daily track of our online platform (answering chat questions, sending review invitations)
- Keeping track of your personal area and fulfill the required inventory needed to function with everyday (ex: pens, printing paper, printer ink, envelops, stamps, specialist’s referrals, doctor’s prescription pads, medical forms etc)
- The reception and waiting room area must be clear of hazard and maintaining a clean environment
- Storage will have to be updated on regular yearly basis. The retention of old files will need to be shredded accordingly. This task will be delegated by the Head of Admin and owners before taking any actions
Working Conditions:
Full-Time/ Permanent Monday to Thursday 7:45am-5:00pm / Friday (alternating) 7:45am-12:00pm / 3:00pm (each receptionist will be assigned a specific day to close TBD)

- Offers lunch & learns, in and out of office team studies for one’s knowledge to expand, team building out of office activities throughout the year
Qualifications and Competencies:
- Secondary Diploma
- Dental Reception Certificate and/or minimum of 1 year experience in medical field
- Tech savvy and comfortable in learning the working software’s
- Must be fluently bilingual in French and English
- Must be comfortable working in a fast-paced environment (Great management skills and prioritization, attentive to details and keeping notes)
- Must be punctual, taking initiative, autonomous as well working in a team, respectful and courteous
Job Type: Full-time
Pay: $20.00-$30.00 per hour
