Program Kaartdijin is seeking to establish a pool of Deployment and Implementation Liaison Officers for fixed term, full-time vacancies which may arise during 2026 and up to the end of June 2027. Appointments may be offered at any time for vacancies that commence during this period.

Program Kaartdijin was established to develop a functionally fit, technologically robust solution to replace the current School Information System (SISClassic). The program supports schools to manage budgets and finances more effectively. The program’s vision is to provide a contemporary administrative and finance solution connecting people, processes and systems for school communities now and into the future.

The Kaartdijin solution is being deployed in 2 phases to all 835 public schools across Western Australia between now and 2027.

Compass Education is contracted to deliver the school and student administration and timetabling components of the Kaartdijin solution. TechnologyOne is contracted to deliver the financial component. Together, these systems form an integrated solution.

Phase 1 includes the management of attendance, student wellbeing and events, and primary school timetabling. During this phase, schools are operating both the current and new systems. This phase has now been completed.

Phase 2 deployment started in 2025, introducing capabilities for managing enrolments and finance. Timetabling will start in 2026. As a school transitions to Phase 2, their access to SIS Classic will move to read only.

The Role

Are you looking for a new challenge? Do you want to be part of a major transformational change? If so, join our dynamic and collaborative team!

We are seeking highly dedicated and motivated Liaison Officers to join the Implementation and Deployment workstream.

The program values are:

integrity in all we do
open and transparent communication
collaborative approach – shared goals and objectives
commitment and cooperation
value all contributions
exceptional customer service.
The Liaison Officer role is full-time, based in the East Perth office on Brook Street. Start times will vary between 7:30am and 9:00am, with finish times between 3:30pm and 5:00pm, to ensure schools and the wider program are fully supported. At times, a standard 9:00am – 5:00pm day will be required to facilitate go-live preparation activities that can only occur after 3:00pm, before a go-live on the following business day.

As a Liaison Officer, you will work closely with school staff as part of Phase 2 of the Kaartdijin solution. You will provide high-level customer service and support, helping schools onboard to the new systems. Within Program Kaartdijin, you will collaborate with the Training, Communications, ICT, Schools, and Finance teams to deliver a smooth and effective transition.

You will also help ensure school staff remain engaged throughout the change and contribute to key operational needs, including developing quality processes, guides, and other support materials. Your focus will be on continuous improvement and delivering the best possible experience for end users.

Some of your regular tasks include (but are not limited to):

guiding schools through deployment milestones, while tracking their progress through structured check-ins and other program tools
building strong relationships to guide and influence schools through each stage of their journey
ensuring schools have access to the right tools, links, and resources throughout their transition, including support for Compass components
supporting school transitions and system configuration, including applying Compass Link, verifying billing and enrolments modules, and helping schools move from legacy systems to the Kaartdijin solution
setting up and maintaining key school-specific tools the program provides such as online platforms including Kaartdijin Implementation and Deployment (KIDS) School Sites, Teams channels, Asana and SharePoint folders
responding to school queries via phone or Microsoft Teams about their deployment journey
triaging and responding to support requests from schools during deployment
working collaboratively with the Principal Project Officers (Liaison Officer Line Managers) and other program members to escalate issues that cannot be resolved at the first level, while using the available support tools and resources to deliver effective first-line support.
The Liaison Officer role is dynamic and requires a high level of flexibility, as priorities can change from day-to-day. It suits people who are highly organised, resilient, adaptable, proactive and pragmatic as you will be managing multiple schools in various stages of deployment at the same time. You may work with up to 40 schools at once, each at different stages of the deployment journey. This means there will be busy periods with high workloads, and quieter times when schools are unavailable (e.g. during training and school holidays), giving you time to catch up or support the team. We value people who are team focused, collaborative, resilient, supportive and level-headed under pressure, with the ability to adjust individual priorities to meet team and broader program needs.

Ideal applicants have strong practical experience in influencing change, planning, and problem-solving. You should be able to engage and build trust with stakeholders, and deliver accurate, timely advice in a fast-paced environment. You’ll need to learn quickly, think on your feet, and adapt your approach as different schools have different needs. Excellent organisation is essential.

Attention to detail, patience, and accuracy are also key to this role. A major part of Phase 2 involves financial reconciliation – checking each school’s data in the legacy system (SIS Classic) against data in the Kaartdijin solution. If financial data is not transferred correctly and errors go unnoticed, the impact can be significant. Automation tools may assist with this work, but careful manual checking will still be required.

While experience in schools and finance is preferred, it is not essential. We welcome applicants with the right skills and mindset, as training will be provided. The deployment team has a range of processes, documents and experienced staff to guide and support you.

Experience in Microsoft Office products (Teams, SharePoint, Word, Excel, and Outlook) is required. Experience with school financial systems such as RM Billing, RM Finance, Asset Manager or TechnologyOne CiA will be highly regarded.
