Job Description: Documentation Executive (Import and Export)

We are looking for a detail-oriented and highly organized Documentation Executive with experience in import and export operations to join our team. As a Documentation Executive, you will play a vital role in managing and maintaining all necessary documentation related to import and export activities. Your primary responsibility will be to ensure compliance with customs and regulatory requirements while facilitating smooth and efficient shipment processes.

Responsibilities:
• Documentation management: Handle the end-to-end documentation process for import and export operations, including preparing and verifying shipping documents, invoices, purchase orders, bills of lading, certificates of origin, and other relevant paperwork.
• Customs compliance: Ensure adherence to customs regulations and requirements for both import and export shipments. Stay up-to-date with any changes in customs procedures, tariffs, and trade regulations to ensure smooth clearance of goods.
• Coordinate with suppliers and logistics partners: Collaborate with suppliers, freight forwarders, customs brokers, and other logistics partners to obtain necessary documentation, track shipments, and ensure timely and accurate delivery of goods.
• Record keeping: Maintain comprehensive records of all import and export documentation, including invoices, shipping documents, customs forms, and other relevant records. Organize and manage documentation in an efficient and easily retrievable manner.
• Compliance with international trade laws: Stay informed about international trade laws, sanctions, embargoes, and export control regulations to ensure compliance during import and export processes. Assist in conducting compliance audits and implementing necessary controls.
• Communication and coordination: Liaise with internal departments, such as procurement, sales, and logistics, to gather and exchange information related to import and export activities. Communicate effectively with external stakeholders, including customs officials, shipping agents, and suppliers, to resolve any documentation or shipment-related issues.
• Process improvement: Identify opportunities for streamlining documentation processes, reducing errors, and improving efficiency. Collaborate with relevant teams to implement process enhancements and automation solutions.

Requirements:
• Education and experience:
• Bachelor's degree in International Business, Supply Chain Management, or a related field.
• Proven experience (X years) in import and export documentation within a reputable organization.
• Knowledge of import and export procedures: Familiarity with customs regulations, INCO terms, import/export documentation requirements, and international trade practices.
• Attention to detail: Ability to meticulously review and verify various documents to ensure accuracy and compliance with regulatory standards.
• Organizational skills: Excellent time management and organizational abilities to handle multiple tasks, prioritize effectively, and meet deadlines.
• Communication skills: Strong written and verbal communication skills to interact with internal and external stakeholders effectively.
• Problem-solving skills: Ability to anticipate and resolve issues related to documentation, customs clearance, and shipment delays.
• Proficiency in MS Office: Working knowledge of spreadsheet and document processing software to create and manage documentation.
• Knowledge of customs software and online portals: Familiarity with customs clearance software and online platforms used for import and export documentation submission.
