Documentation Executive
Key Responsibilities
1. Documentation Management
Prepare, review, and process shipping and logistics documents such as bills of lading, invoices, packing lists, and certificates of origin.
Ensure accuracy and compliance with company policies, international trade regulations, and customs requirements.
2. Compliance and Record-Keeping
Verify documentation aligns with legal requirements for domestic and international shipments.
Maintain organized records of all shipping and logistics documents for auditing and reporting purposes.
3. Customer Support
Serve as the primary point of contact for customers regarding shipment status, documentation requirements, and issue resolution.
Address and resolve customer inquiries promptly while providing accurate and timely updates.
Work closely with the operations team to ensure customer expectations are met.
4. Coordination
Liaise with internal teams, including operations, finance, and customer service, to gather required information for documentation.
Coordinate with freight forwarders, customs agents, and other external stakeholders to ensure timely document submission and smooth operations.
5. Process Optimization
Identify gaps in documentation workflows and propose solutions to improve efficiency.
Implement best practices to minimize errors and enhance customer satisfaction.
6. Reporting and Analysis
Generate reports on documentation accuracy, processing times, compliance metrics, and customer feedback.
Provide actionable insights to management to drive continuous improvement in processes and customer support.
