The Executive Officer (EO) is a key position within Chief Health Officer (CHO) Division and is the primary interface and generally the first point of contact between stakeholders and CHO senior executive staff. The EO provides high level administrative support to CHO and other executive staff within the Division.

The CHO Division provides health leadership to the Department of Veterans’ Affairs. The Division works collaboratively with business areas to contribute clinical expertise across health and wellbeing policy, research, programs and services. The CHO Division is responsible for all clinical advisers who provide advice within DVA under a clinical governance framework. The CHO Division is comprised of the Health and Compensation Branches.

The Health Branch provides expert clinical leadership on health treatment and is responsible for ensuring that DVA health benefits and services are informed by clinical best practice.

The Compensation Branch is focussed on providing timely, accurate and evidence-based medical advice to assist quality decision making during the assessment and processing of claims.


DUTIES
As an EL1 you will be required to
Managing the workflow of the CHO office ensuring all matters are tasked and responded to in a timely manner and to a high standard.
Managing the CHO Division Coordination inbox this includes facilitating and monitoring the timely flow of correspondence including compliance with meeting required due dates in close coordination with Executive Assistants and other direct reports to CHO.
Preparing quality documentation which includes drafting correspondence to support the CHO strategic and day-to-day responsibilities and activities including Senate Estimate briefs, operational documents for governance committees and material for senior executives, as required.
Providing administrative and coordination support for internal and external meetings including developing meeting agendas, writing minutes, and distributing key documents to meeting attendees in collaboration with CHO Executive Assistant.
Developing and administering appropriate office systems and processes to ensure the efficient and effective operation of the office, whilst identifying any opportunities for improvement.
Providing procedural advice on Departmental issues in managing executive function of CHO Office.
Managing relationships across the department, with external organisations and other government agencies and departments to ensure effective support to the CHO and SES staff.
Mentoring and supervising Executive Assistants within CHO division.
DESIRABLE REQUIREMENTS
Degree qualification in a relevant discipline with several years of related experience, or an equivalent combination of relevant experience is highly desirable.
ELIGIBILITY
Under section 22(8) of the Public Service Act 1999, employees must be Australian citizens to be employed in the Australian Public Service (APS).
Any successful candidate external to DVA offered employment will be required to undergo a pre-engagement screening check, even if they have a security clearance. The screening check is conducted in accordance with the Australian Government Protective Security Policy Framework requirements.
Any successful candidate will also be required to obtain and/or maintain, a baseline Vetting (AGSVA) security clearance as a minimum.
