About This Position

Assist in the coordination, planning and execution of corporate field force meetings, conventions and incentive trips. Executes specific aspects of an event (room block management, air, group transportation, decor, entertainment, gifts, event seating, VIP special handling). Responsible for registration website development, on-site registration management, accounting/billing, DMC staffing and other special event planning. Interacts with team members, senior management, communications, distribution and various other departments to insure all aspects of meeting are coordinated properly. Manages services with outside vendors (hotels, Convention Centers, DMC, etc.). On-site, assist in executing all aspects of event, providing directional needs to hotel, DMC, and other personnel involved in executing event. Validates event invoices and prepares for payment.

Estimated salary range for this role is: 60-65K

Responsibilities & Qualifications

JOB DUTIES & RESPONSIBILITIES

Assist with planning and implementation of corporate field force events
• Assist in the coordination of hotel staff, room block, food and beverage/menus, space allotment, ballroom experience, décor and entertainment, and other aspects of event).
• Coordinate vendors to achieve best experience (DMC, entertainment, Air and Ground Transportation, CVent, etc).
• Develop print materials associated with incentive trip.
• Prepare email communication to qualifier with registration information.
• Create registration reporting and provide to senior management.
• Assist with implementation of flight rules and dollars limits with Travel Company.
• Monitor selected flights and communicate with traveler regarding flight approval and options.
• Prepare general session seating.
• Validate event invoices and request approval and payment.

Develop, test and implement registration websites
• Develop and maintain event registration websites via CVent.
• Communicate with meeting owner to determine registration requirements.
• Coordinate with department accountant any accounting needs.
• Identify accounts to use for processing.
• Coordinate testing of website and make necessary changes.
• Obtain approval from meeting owner and place in production.
• Monitor PayPal account if money is required to register.
• Process funds and special request.
• Provide registration reporting and revenue received report.
• Support convention registration.
• Respond to field representative phone and email inquiries.
• Assist department accountant with tracking of revenue.
• Develop and provide registration reports to include number registered, workshop numbers and revenue collected.
• Identify any challenges with registration and evaluate to senior management.
• Assist with CVent website training of new Event Coordinators.

Assist with contract process.
• Coordinate execution of vendor contracts to include working with Primerica legal to ensure proper language and terms of contract are viable and acceptable to Primerica standard.
• Complete contracts with approval and appropriate signatures with copies sent to legal and assist with executing all contractual obligations.
• Ensure appropriate insurance coverages are in place per contract.
• Coordinate billing set-up, payment of deposits and validation and payment of final bills with department accountant.

Maintain Event Budgets
• Maintain event budget.
• Track expenses.
• Identify possible challenges and notify senior management when necessary.
• Validate all expenses and process payments.
• Assist department accountant with processing and payment of field force travel reimbursements.

Develop and Maintain Outside Vendors relationships
• Develop and Maintain meeting vendor relationships (BCD Travel, CVent, DMC,).
• Attend various industry events to develop relationships and stay abreast of industry trends.

Interact with other Departments for meeting aspects and coordination
• Interacts with team members, senior management, communications, distribution and other department to insure all aspects of meetings or events are coordinated properly.

Education, Experience & Certifications
• Minimum qualifications include the minimum acceptable education and experience needed to perform the duties of the job and are used to establish clear and appropriate eligibility standards for the job.
• In general, minimum qualifications are required at the time of hire; should not be so restrictive that candidates who might reasonably perform the job are excluded; are measurable and practical; and must be tied directly to the job duties.
• Bachelor's degree in Hospitality, Business or equivalent experience
• 4 - 5 years Customer service experience, Project coordination, Budget management and Microsoft software.

Preferred Education, Experience, Certifications or Licenses, Knowledge, Skills and Abilities
• Knowledge of meeting and hotel industry, Knowledge of meeting industry tools (CVent, Travel Companies). Knowledge of Primerica and Field Force.
