Job Description
This position is responsible for supporting plans necessary to produce conferences, meetings, and events with direction from the Program Lead and/or Director on a variety of programs. The candidate will perform a variety of tasks with direction and oversight including but not limited to the below:
· Manage Attendee Communications with poise and professionalism
· Maintain Data Trackers with extreme attention to detail
· Manage Sponsor, Speaker, Exhibitor and Vendor Comms as directed
· Graphic design for a variety of event deliverables, with direction from the lead planner
· Draft event communications (Save the Dates, Invitations, Know Before You Go, etc.) in line and on-brand with the client organization
· Manage registration and financial reports as directed
· Take call notes and assist with agenda drafting for client calls
· Administrative tasks as assigned
· Manage vendors as needed (hotels, transportation, décor, catering, etc.)
· Source venues with direction from the lead planner
· Assist with proposal creation, including research and overall design
· Possess a general understanding of basic A/V functions and needs
· Build and test event registration websites (Cvent)
· Build and test mobile event apps (Guidebook/Attendee Hub)
· Performs other duties as assigned
Job Specifications
Bachelor’s degree with a specialty in event planning, hospitality, or marketing is a plus but not required.
· 2+ years of meeting and planning experience in the context of a results-oriented environment is required. Please do not apply if you do not have direct meeting/event planning experience.
· Highly Proficient in MS Suite (particularly Microsoft Excel), savvy with technology, and a quick learner of various event software.
· Cvent registration website build experience is preferred but not required.
· Experience with graphics including Adobe, Canva or other platforms is a plus but not required.
· Excellent organizational, time management, logistical planning, and decision-making skills
· Ability to contribute to multiple projects, tasks, and priorities in a fast-paced environment with a high degree of accuracy and within set time frames.
· Ability to communicate with individuals effectively and professionally at all levels of the company
· Demonstrated initiative, strong interpersonal skills, and written and verbal communication.
· Work well in a team environment with a moderate to high amount of supervision.
· Must be flexible with the ability to travel approximately 6-10 times per year for one to seven days at a time.
