Haileybury welcomes applications for the role of Event Coordinator to join our Marketing team. This is a full-time, fixed-term (1.0 FTE) maternity leave cover, commencing 30 March 2026.
This role offers an exciting opportunity for a proactive, highly organised professional to contribute meaningfully to the delivery of Haileybury’s 2026 events program, with a strong focus on execution, project management and stakeholder engagement. Working within a high-performing team, the successful candidate will take ownership of delivery, build trusted relationships and contribute to high-quality events that reflect Haileybury’s values and brand.
Key Responsibilities
As the Event Coordinator, you will:
Coordinate venues, suppliers and logistics for Haileybury internal and external events, including signature and beneficiary events.
Manage Haileybury Pangea online and in-person events and coordinate Haileybury Rendall School regional shows.
Provide on-the-day operational and logistical coordination, liaising with suppliers, volunteers, attendees, media, staff, guests, parents and students.
Prepare event documentation including run sheets, rosters, presentations, risk assessments and speaking notes.
Liaise and negotiate with stakeholders and suppliers, including catering, entertainment, theming, sponsors and guest speakers.
Ensure compliance with Haileybury brand guidelines and maintain brand integrity across all events.
Develop and manage event budgets in line with fiscal requirements, supporting the Brand Manager as required.
Respond to stakeholder enquiries in a timely and professional manner.
Conduct post-event analysis and reporting within agreed timeframes.
This role will require flexibility with occasional after-hours work as required by event schedules.
About You

Minimum 2+ years’ experience in a similar role.
Highly developed interpersonal and communication skills, both written and verbal.
Ability to coordinate multiple suppliers and tasks to meet deadlines.
Tech savvy with the ability to utilise project management software to manage multiple projects at any given time.
Capacity to engage constructively and respectfully with individuals of diverse backgrounds and ability to achieve high quality outcomes.
Ability to form a rapport with staff and build collaborative working relationships.
Strong verbal, written and inter-personal communication skills.
Time-management skills.
