Our client, a premier sports and entertainment management company, is seeking a highly organized and energetic Event Coordinator to manage and execute a diverse range of events in Kolkata, West Bengal, IN . This role requires meticulous planning, strong logistical skills, and the ability to work under pressure to ensure seamless event delivery. You will be involved in all phases of event management, from conceptualization and planning to on-site execution and post-event evaluation.
Responsibilities: Coordinate all aspects of event planning, including venue selection, vendor management, budgeting, and scheduling. Develop event concepts and themes in line with client requirements and brand objectives. Liaise with clients, sponsors, talent, and other stakeholders to ensure event objectives are met. Manage event logistics, such as AV, catering, security, transportation, and accommodation. Oversee on-site event execution, ensuring smooth operations and timely delivery of all activities. Develop and manage event budgets, tracking expenses and ensuring profitability. Create detailed event timelines and run sheets. Handle crisis management and problem-solving during events. Conduct post-event analysis, gathering feedback and preparing reports. Maintain strong relationships with vendors and suppliers. Ensure compliance with all relevant permits, licenses, and regulations. Support marketing and promotional activities for events. Qualifications: Bachelor's degree in Event Management, Hospitality, Marketing, or a related field. Minimum of 3 years of experience in event planning and coordination, preferably within the sports or entertainment industry. Proven ability to manage multiple events simultaneously. Strong organizational, project management, and time management skills. Excellent negotiation and vendor management abilities. Proficiency in event management software and MS Office Suite. Strong communication and interpersonal skills, with the ability to build rapport with diverse stakeholders. Ability to work flexible hours, including evenings, weekends, and holidays as required by event schedules. Creative thinking and problem-solving skills. A passion for sports and entertainment is highly desirable.
