Job Title: Event Coordinator

Position Overview:
We are seeking a detail-oriented and enthusiastic Event Coordinator to join our team. The Event Coordinator will be responsible for planning, organizing, and executing a wide range of events, including corporate meetings, conferences, weddings, and social gatherings. The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to manage multiple tasks simultaneously while ensuring a seamless and memorable event experience for clients and attendees.

Key Responsibilities:

Event Planning:
Collaborate with clients to understand their event objectives, preferences, and budget constraints.
Develop event proposals, timelines, and budgets that meet client requirements and align with company standards.
Vendor Management:
Source and negotiate with vendors, suppliers, and venues to secure services, contracts, and agreements for event logistics, catering, decorations, and entertainment.
Coordinate vendor activities and ensure that all contractual obligations are fulfilled.
Logistics Coordination:
Manage event logistics, including venue selection, room layout design, audiovisual setup, transportation, and accommodations.
Develop detailed event schedules and production timelines, and coordinate with internal and external stakeholders to ensure smooth execution of events.
Client Communication:
Serve as the primary point of contact for clients throughout the event planning process, providing regular updates, addressing inquiries and concerns, and soliciting feedback to ensure client satisfaction.
On-Site Management:
Oversee event setup, execution, and breakdown, ensuring that all elements are executed according to plan and that event staff and vendors adhere to established timelines and standards.
Troubleshoot issues and resolve any problems that arise during events, maintaining a calm and professional demeanor at all times.
Post-Event Evaluation:
Conduct post-event evaluations, gather feedback from clients and attendees, and identify areas for improvement to inform future event planning efforts.
Prepare post-event reports, including budget reconciliation, attendance metrics, and client testimonials.
Qualifications:

Bachelor's degree in Hospitality Management, Event Planning, Marketing, or a related field.
2+ years of experience in event planning and coordination, preferably in a corporate or hospitality environment.
Strong organizational and project management skills, with the ability to multitask and prioritize tasks effectively.
Excellent communication and interpersonal skills, with the ability to build rapport with clients, vendors, and team members.
Proficiency in event planning software and Microsoft Office suite.
Flexibility to work evenings, weekends, and holidays as required by event schedules.
