Job Summary:
The Assistant Event Manager is responsible for assisting in the planning, organization, and execution of events. This role involves coordinating logistics, managing vendors, and providing exceptional customer service to ensure that events run smoothly and meet or exceed client expectations.
Key Responsibilities:
Event Planning: Assist in the development and execution of event plans, including determining objectives, budgets, timelines, and themes.
Vendor Management: Identify and secure event vendors and suppliers, negotiate contracts, and manage relationships with catering services, decorators, audiovisual companies, and other event-related vendors.
Logistics Coordination: Oversee logistical aspects such as venue selection, transportation, equipment rentals, seating arrangements, and audiovisual setups.
Budget Management: Assist in creating and managing event budgets, tracking expenses, and ensuring cost-effective solutions.
Client Interaction: Communicate with clients to understand their needs, preferences, and expectations, and provide excellent customer service throughout the planning process.
Event Promotion: Collaborate with marketing and promotional teams to create and implement strategies to promote events and increase attendance.
Staff Coordination: Recruit, train, and supervise event staff, including event coordinators, ushers, and security personnel, to ensure efficient event operations.
On-Site Management: Be present during events to oversee setup, manage event flow, troubleshoot issues, and ensure that all aspects of the event run smoothly.
Post-Event Evaluation: Collect feedback from clients and attendees, evaluate the success of the event, and prepare post-event reports for future improvements.
Compliance and Safety: Ensure events comply with all relevant regulations and safety standards, including permits, licenses, and emergency plans.
Qualifications:
Bachelor's degree in event management, hospitality, business, or a related field
(preferred).
Previous experience in event planning or related roles.
Strong organizational and project management skills.
Excellent communication and interpersonal skills.
Proficiency in event management software and tools.
Ability to work under pressure and meet tight deadlines.

Flexibility to work evenings, weekends, and holidays as required
