OVERVIEW:

Oversees and coordinates all details of events with clients to ensure smooth and successful events at the facility. Detailing all aspects of event; invoicing, sales revenue generation, collections, deposits, etc. Point of contact on-site for all assigned events. Builds and maintains relationships with clients & community throughout year.

YOUR RESPONSIBILITIES:

Receives definite accounts assigned from Senior Event Manager and/or Director of Sales and General Manager.

Works closely with sales team to build rapport with clients, and ensuring that their event experience is exceptional.

Coordinates details of assigned accounts with client to complete Banquet Event Orders (BEOs).

Follow and uphold all policies and procedures that are applicable to Event Managers.

Timely communicate details with all other departments through BEOs, memos, and emails. Prepares cost estimates and monitors final billings.

Works with DOS to ensure that final client invoices are paid in full.

Support and communicate with General Manager, department Directors, and associates assisting in building a positive culture.

Work with A/V department to ensure all A/V orders and requests by the client are completed in a timely manner.

When needed work with Theater Production Manager and Theater Event Manager to forward details and client requests for the Theater.

Arrive one hour before client and thoroughly review BEO to make sure that room is set correctly, signs are posted, lights are set, room temperature is comfortable, A/V is set, and in-house requirements are ready (electrical, microphones, set-up, staging, breaks, and other requirements requested by client).

Coordinate with Managers to ensure there is adequate managerial oversite on site during times when event and clients are in the building.

Check with other departments (Kitchen, Banquets, A/V and Operations) during the event to make sure that they are on schedule.

Coordinate with Food & Beverage department to ensure that all Food & Beverage meals, breaks, and receptions are on time and food presentation is up to standards.

Respond and handle any emergencies or accidents that may occur during the event that you are overseeing.

Assist Food & Beverage department with the enforcement of Liquor Law requirements.

Make sure that fire and safety codes are met during the planning, set-up, and actual event.

Coordinate procurement of proper insurance coverage for events.

Schedule Pre and Post Convention Meetings with all departments and clients as needed.

Up sell menus and in house items to clients.

Coordinate with Administrative Assistant and Accounting to ensure that invoicing information is correct, and invoices are completed, and Accounting is notified.

Close out files and return to Sales Managers for survey results and future solicitation.

Ability to oversee an event, offering solutions to clients requests, while maintaining safety and OECC standards.

Other duties as assigned by General Manager, Senior Event Manager and/or Director of Sales.

ABOUT YOU:

Education: Bachelor's Degree or a combination of training and two (2) years of related experience.

Experience: Two (2) years of event management experience or three (3) years of management experience in a related field

Knowledge: Knowledge of basic banquet standards.

Skills: Excellent customer service and communication skills;

Abilities: Ability to read, understand, and execute the event orders. Ability to effectively and efficiently work in a fast-paced, customer focused environment; Ability to handle multiple tasks simultaneously;

YOUR SPECIAL QUALIFICATIONS:

Must have a valid Utah Driver's License and a good driving record.

Willing to work flexible hours as required based on events, including days, evenings, weekends and holidays, as needed.

Must have professional attitude and appearance.
