The Society

The Perth Branch of the Society for Underwater Technology (SUT) is a not-for-profit society, formed in 2004. The SUT is a multi-disciplinary learned society bringing together individuals and organisations with a common interest in underwater technology, ocean science and offshore engineering. We have members in more than 30 countries, including engineers, scientists and other professionals working in these areas.

We hold regular technical corporate events including courses, technical evenings, conferences, site visits plus a few social events through the year in and around Perth. Event attendee numbers range from 10 – 400 participants.

The Position

We are seeking a professional, enthusiastic and confident team player to be responsible for end to end event management and delivery on behalf of the Society. Working alongside two Events & Marketing Assistants, you will be required to organise and coordinate our corporate events, oversee marketing campaigns throughout our busy calendar year.

Working with three part-time staff members, a board consisting of 16 volunteers and 500+ additional volunteers, you will be an essential member of this fast-paced team, all working together to ensure the success of one of the most reputable and highly regarded societies in the Perth oil and gas industry.

A typical working week will comprise of 21 hours worked from Tuesday to Thursday, though you must be able to work some early mornings, evenings and Fridays (when arranged well in advance) to support the delivery of events. Flexible working arrangements are also in place, including an amount of working from home.

Our small office is located in West Perth (next to City West train station) and is easily accessible via train or CAT bus from the city, though paid parking is very close by also.

Meetings may occasionally be held in the CBD though you will only require a vehicle on event days.

Duties include:

The Events & Marketing Manager is responsible for (but not limited to):

Event Management

End-to-end event management including:

Speaker, delegate and sponsorship coordination

Venue coordination (including site inspections)

Supplier coordination (AV, printing, entertainment, etc.)

Onsite event management including course facilitation

Registration management (Eventbrite)

Managing volunteers

Event budget management

Pre/post event administration (including satchel packing, printing name badges, etc.)

Recording delegate feedback and implementing any changes to future events

Taking direction from Office Bearers and Committee Members

Supervising and training casual event assistants to support event delivery.

Assisting and guiding volunteers in organising their own events.

Marketing

Overseeing the management, design and execution of digital marketing including Facebook, LinkedIn (Hootsuite) and SUT website with the aim of enhancing our online presence

Flyer/web banner designs and updates (PowerPoint / InDesign)

Ensuring the SUT website is up to date with Sponsors, Events and Courses (WordPress)

General

Assisting other staff in duties as required

Assisting the Finance / Membership / Scholarships Administrator as required (Basic MYOB)

Working with and guiding volunteers – from senior level professionals on committees to student interns

Relationship management – developing and maintaining relationships with all stakeholders.

Liaising with IT consultants

Database management (on Excel)

Data collation

General office based duties.

Who we are looking for?

Someone who can come in and hit the ground running with confidence and experience, particularly someone with experience in Managing Conferences and Courses.

Organised, motivated, and customer-focused individual with incredible attention to detail.

Excellent communication skills (verbal and written).

Confident decision-maker who works well under pressure.

Ability to work autonomously and collaboratively in both small and large teams.

Display an elevated level of initiative and problem-solving skills.
