Operations is the backbone of everything we do — and this role will play a central part in executing and scaling our experiences.

Role Overview

We are looking for a Lead – Event Operations who will own the end-to-end execution of our festivals, conferences, and experiential events, while also ensuring smooth internal operational functioning of the company.

You will be responsible for ensuring that:
• Festivals execute seamlessly from planning to on-ground delivery
• Sponsors, exhibitors, and partners have a smooth, premium experience
• Internal teams operate with clarity, structure, and efficiency
• Budgets, timelines, and deliverables are managed effectively

Your mission is to ensure our events run flawlessly while helping build strong operational systems for the company.

Key Responsibilities

1. Festival & Event Operations (Primary Responsibility)

Lead end-to-end operations for Ekatva Festival, Vegan India Conference, and other IPs.

Planning & Pre-Production
• Create detailed project plans, timelines, and trackers for each event
• Build and manage operational budgets
• Design site layouts including stalls, stages, installations, and experience zones
• Coordinate timelines across sales, marketing, content, and curation teams
• Identify, onboard, and manage vendors across production, fabrication, logistics, and technical

Sponsor, Partner & Exhibitor Management
• Manage onboarding and operations of exhibitors, sponsors, and partners
• Ensure seamless partner experience from onboarding to execution
• Coordinate sponsor branding, stalls, and deliverables
• Ensure commitments made by sales team are executed properly

On-Ground Production & Execution
• Lead venue setup, fabrication, and production
• Manage technical teams including sound, light, stage, fabrication, and logistics
• Supervise vendors, volunteers, and on-ground teams
• Ensure smooth execution across all operational aspects
• Handle real-time problem solving during events

Post-Event
• Manage vendor closures and payment coordination
• Prepare operational reports and insights
• Identify improvements for future events

2. Company Operations (Year-Round Responsibility)

Ensure smooth and efficient internal operations across teams, beyond event execution.

Operational Tracking & MIS
• Maintain MIS trackers and dashboards across events, sales, partnerships, and content deliverables
• Provide weekly updates to leadership and proactively flag delays or gaps
• Ensure teams are on track with timelines, targets, and commitments

Team Coordination & Execution
• Coordinate across content, sales, marketing, and leadership to ensure smooth execution
• Track internal and client deliverables and ensure timely completion
• Build simple trackers and processes to improve accountability and efficiency

HR, Admin & Process Management
• Coordinate with HR and Admin on onboarding, attendance, and office operations
• Support hiring coordination and team operational readiness
• Create and maintain SOPs and workflows to improve efficiency and fix operational gaps

3. Revenue & Partner Delivery Support

Support revenue execution and partner satisfaction.
• Ensure smooth execution of sponsor and exhibitor deliverables
• Coordinate ticketing operations and reporting
• Work with sales team to ensure seamless handover and execution
• Support profitability through efficient vendor and cost management

4. Vendor & Financial Coordination

Ensure financial discipline and vendor management.
• Track event budgets and expenses
• Maintain vendor contracts and payment trackers
• Coordinate invoices and payments with finance team
• Negotiate vendors for best value and efficiency

5. Team & Stakeholder Coordination
• Coordinate cross-functional teams across events and content
• Support hiring and management of freelancers and volunteers
• Ensure alignment and accountability across teams

Ideal Candidate Profile

Experience
• 7+ years experience in event operations, festival management, or experiential companies
• Proven experience managing large-format events, festivals, or conferences
• Experience working in fast-paced teams preferred

• Excellent vendor and partner management skills
• Strong budgeting and coordination ability
• Ability to manage multiple projects simultaneously
