Purpose
Reporting to the Head of Events, you will be responsible for the delivery of internal and commercial events across multiple spaces within the theatre. This leadership role will drive results across both quantitative and qualitative KPIs, focusing on exceptional service standards, product consistency, team growth and development, and sustainability of operations covering everything from financial management to supporting our ambitious 2027 Net-Zero transition plan, through conscious choices and efficient operations.
Responsibilities
Event delivery
• Deliver commercial and internal events according to function sheet specifications
• Maintain exceptional high standards for all types of events
• Ensure the operational team have in-depth induction and training, a
• Conduct detailed briefings enabling them to perform to expected standards
• Manage client relationship and communication throughout the event
• Complete relevant H&S paperwork and insightful end of night reporting
• Always adhere to responsible ******* service guidelines
Team management & training
• Line management of events operations team and a variable pool of casual staff
• Manage rotas according to event requirements and labour budgets,
• Aim to engage and retain key flexible staff with NT Food & Drink’s internal workforce
• Oversee staff training, including inductions, health & safety and event-specific training
• Establish and update standard operating procedures and menu specification documents
Health & safety
• Brief allergens and other key dietary er clearly and effectively
• Conduct weekly and quarterly health & safety audits of event areas
• Ensure compliance with food safety and general H&S requirements
• Update & review all risk assessments associated with event operations
Equipment & logistics
• Effectively manage all event kit & equipment including regular stocktakes and maintenance
• Liaise with logistics team regarding event requirements in a timely and efficient manner
• Operate basic in-house AV & Lighting equipment and report maintenance requirements as needed
• Set up and manage linen contract, ensuring correct quantities are available for events as required
Financial reporting
• Effective management of labour spend vs budgets for both commercial and internal events
• Conduct monthly stocktakes focusing on breakages, high vale item losses, secure storage
• Weekly commercial sales and profit reporting, as well as accurate reporting for internal events
• Understanding and driver to deliver success of overall commercial event P&L and budgets
• Work closely with Executive Chef to improve position and success of food waste programs
Stakeholder management
• Foster strong relationships with partners, including KERB, National Theatre, and Compass Group
• Maintain strong positive relationships with internal departments, including Food & Drink, planning, AV & lighting, development, support services and visitor experience management.
• Manage external suppliers throughout event delivery, maintaining relationships whilst ensuring all building regulations are adhered to
Other
• Support the event sales & planning team in driving commercial event revenue
• Thorough understanding of the internal event requirements, particularly for high-level clientele and the importance of these events for the ongoing success of the National Theatre
• Promote and support Food & Drink’s commitment to sustainability in event menus and delivery.
Personality
• Confident: Is a capable and safe set of hands, with previous experience in operational event management, preferably within a cultural/heritage venue, high-end hotel or similar
• Dynamic and driven: Able to work collaboratively with cross-functional teams and external partners to deliver exceptional guest experiences and commercial results
• Detail-focused: Notices the little things and is incredibly organised. Can carefully address every element of an event, including staffing, equipment, logistics, stock control and external suppliers
• Flexible: Embraces the agility required to manage multiple events simultaneously, with guest numbers of 200+. Open to adjusting working patterns within reason, as relevant to business requirements from time to time
• Safety Led: Leads by example on all event-specific and general health and safety requirements
• Financial Acumen: Confidently manage an event P&L, including labour budgeting and stock control
• Curious: Isn’t afraid to think outside the box, looking for opportunities to improve processes, procedures and efficiencies. Takes interest in wider hospitality industry, with finger on the pulse
