JOB STATEMENT
The Event Planner is responsible for all BLA event activities. Event activities include:
Planning, coordinating, and executing all BLA’s event logistics, including BLA’s annual Newcomer Symposium (1), Small Business Week get-togethers (2), small market get-togethers (2-4), webinars (40-45), Peerpreneur Sessions (3-5), among others.
Support for coordinating and executing BLA’s participation in events run by ecosystem partners.
Planning, coordinating and executing internal events such as our annual board strategy session, holiday events for staff and staff “all hands” meetings and town halls.
The Event Planner ensures every event is professionally delivered, aligned with organizational priorities, and executed to a high standard.

LOCATION
Offices in Edmonton or Calgary.
BLA is a hybrid work employer, requiring employees to work either in the office or face-to-face at other locations outside the home office 3 days per week.
ROLE COMPONENTS
Annual Event Planning & Calendar Management
Develop and manage the annual calendar of Business Link Alberta–led webinars and events.
Plan programming timelines 3–6 months in advance to ensure effective coordination and delivery.
Align event programming with marketing campaigns and client service priorities.
Maintain master event documentation, schedules, and planning resources.
External (Business Link Alberta–Hosted) Events
Lead planning and execution of up to entrepreneur-facing webinars and signature events.
Coordinate speakers, facilitators, moderators, and external vendors.
Develop detailed run-of-show documentation and oversee event-day execution.
Manage event platforms (Zoom, MS Teams, Eventbrite).
Oversee all event logistics, including venue coordination, catering, A/V, registration, and materials.
Track attendance and engagement metrics and prepare post-event reporting.
Internal Employee Events
In collaboration with the Director of HR, plan and execute internal events, including Town Hall meetings, staff retreats, and holiday or recognition events.
Partner with HR and Leadership to support employee engagement initiatives.
Manage logistics, including venue booking, catering, vendor coordination, and scheduling.
Provide presentation support for the Executive Director and Leadership team as needed.
Vendor Management
Manage event-specific budgets and ensure effective use of resources.
Identify opportunities for efficiencies and cost savings while maintaining high-quality event delivery.
Cross-Team Collaboration
Work closely with Marketing & Communications to support event promotion and post-event communications.
Collaborate with Client Services to ensure programming meets client needs.
Partner with HR to align internal events with organizational priorities.
Coordinate with internal staff participating in Business Link Alberta events to ensure smooth execution.
QUALIFICATIONS
Post-secondary degree or diploma in Business, Marketing, Communications, Event Management, or a related field. Equivalent experience will be considered.
3–5 years of experience in event coordination or event planning, including both virtual and in-person events.
Demonstrated experience coordinating event logistics and managing multiple projects simultaneously.
Experience working with vendors, venues, and external service providers.
Strong organizational, planning, and time management skills with a high level of attention to detail.
Excellent written and verbal communication skills.
Proven ability to collaborate effectively with cross-functional teams, including Marketing, Client Services, and Human Resources.
Experience using virtual event platforms (such as Zoom, Microsoft Teams, and Eventbrite), registration tools, and CRM systems.
Proficiency with Microsoft Office and Microsoft Teams. Experience with marketing tools is considered an asset.
Flexibility to work occasional evenings or weekends as required for events.
Valid driver’s license and willingness to travel within Alberta.
